Job Description

PROJECT COORDINATOR, INSTITUTE FOR ARTIFICIAL INTELLIGENCE AND FUNDAMENTAL INTERACTIONS (IAIFI), Laboratory for Nuclear Science (LNS), to perform complex and diverse duties in support of IAIFI leadership.  Will implement key projects and assist with communications, expense tracking, and report preparation.  Responsibilities include providing timely, transparent, and efficient guidance to stakeholders on a wide variety of matters; coordinating across teams on day-to-day operational activities for the program, including event management, monitoring project scope and schedules, auditing for compliance, identifying and reporting issues, and performing administrative research and analysis; managing administrative updates to tracking and communication tools; contributing to broader impact objectives, including public engagement, community building, and diversity, equity, and inclusion; coordinating and publicizing IAIFI events and meetings, including booking space, ordering food,advertising events, and coordinating visitor travel and schedules; collecting, auditing, and preparing data for reports; preparing, editing, and maintaining presentation materials and reports; contributing insight to program/project plans and strategy and remaining abreast of current trends and best practices; representing IAIFI at meetings/events; and participating in special projects and other duties as assigned.  

Job Requirements:

REQUIRED:  bachelor’s degree in related field; two years’ administrative and/or program management experience; excellent organizational, time management, interpersonal, and verbal and written communication skills; meticulous attention to detail; ability to relate effectively with a variety of stakeholders and manage relationships across groups and locations, set priorities under the pressure of deadlines and despite frequent interruptions, work independently and as part of a team, and coordinate with a variety of stakeholders across several universities; and willingness to assume new responsibilities and learn new software as needed.  PREFERRED:  technical skill with Google suite, Smartsheet, Overleaf, Adobe, GitHub, etc.; and database management experience.  Job #23946-6

Must be available to work evenings and weekends for four to five events per year.
