Essential Duties and Responsibilities

Database Management

  • Manage database, files and reports for Upward Bound-Phil Campbell Project.
  • Input data and assist in completing the Annual Performance Report (APR) submitted to the Department of Education reflective of grant objectives and student performance data.
  • Maintain project documentation, reports, and general files on the computer using appropriate software and database programs.
  • Generate reports and assist in data analysis to support program evaluation and reporting requirements.
  • Ensure the accuracy and completeness of student records, including demographic information, academic progress, and participation in program activities.

Administrative Support

  • Establish, maintain and update program participant records for Upward Bound-Phil Campbell project in an up-to-date filing system.
  • Provide professional clerical support for the Upward Bound Program staff as requested by the Program Manager.
  • Maintain inventory of departmental office supplies and forms for the Upward Bound Program.
  • Assist with correspondence and serve as a recorder for Upward Bound Program staff meetings.
  • Serve as distribution and collection point for purchase orders, budgets, job descriptions, staff and participant time sheets, travel request, travel reimbursement and maintenance request, etc., pertaining to Upward Bound-PC program.
  • Assist in the organization of program events, workshops, and meetings; including scheduling and arranging appointments, meetings and travel plan for Upward Bound-PC program.
  • Maintain a comprehensive filing system of all Upward Bound Program participant files, social media site, and equipment inventory.
  • Serve on college committees as requested.

Documentation and Reporting

  • Assist with preparations and completion of the Annual Performance Report.
  • Compile and organize documentation related to student eligibility, program activities, and outcomes.
  • Assist with annual update of program Policy Manual for UB-PC project.


Communication and Outreach

  • Collaborate with program staff and maintain effective communication channels with students, parents, and program schools.
  • Maintain curriculum materials and office supplies, prepare Purchase Orders and contact vendors for program services.
  • Perform additional job-related responsibilities as assigned by the Manager of the Upward Bound Program.
  • Support outreach efforts to recruit eligible students and promote program activities.


Compliance and Record Keeping

  • Comply compliance with all state and federal rules applicable for the provision of Upward Bound Program services.
  • Comply with any applicable guidelines and policies set forth by the Alabama College System and Northwest-Shoals Community College; and other applicable state agencies.
  • Maintain confidentiality of student records and sensitive information.

 

Qualifications

  • One (1) year (32 semester hours) of postsecondary education in related coursework from a regionally accredited institution, required.
  • Minimum of an associate’s degree, preferred.
  • Two years of TRIO experience, preferred.
  • Experience with Banner, preferred
  • Knowledge of socioeconomic and educational conditions of target area and schools, preferred.
  • Background similar to the target population, preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Power Point) and database management software
  • Proven experience in administrative support and database management.
  • Strong organizational skills with attention to detail.

SALARY:  Compensation is in accordance with the Alabama Community College System’s Salary Schedule E3-4 ($38,979 - $56,128).
