Position Summary

 

Under the general direction of the Director of Financial Aid, the Assistant Director of Financial Aid assists in implementing and administering Title IV aid as well as other federal, state, institutional and private financial assistance programs at Trenholm State Community College. The Assistant Director of Financial Aid is also responsible for carrying out the responsibilities of financial aid processing, such as, Verification, Return to Title IV calculations and monitoring Satisfactory Academic Progress. The Assistant Director of Financial Aid serves as the College’s primary Veteran Affairs School Certifying Official. Working closely with the Director of Financial Aid, the Assistant Director of Financial Aid plays a key role in decision-making and policy development as it pertains to the Trenholm financial aid department. The Assistant Director of Financial Aid provides systems training for new employees in the office. In the absence of the Director of Financial Aid, the Assistant Director of Financial Aid is responsible for the overall operation of the Financial Aid Office.

Essential Duties and Responsibilities

 

  • Collaboratively work with the Director of Financial Aid to analyze and monitor mandated Federal and State regulations. Translate these regulations into policies and procedures for Trenholm State’s Financial Aid Office.

  • Manage the administration of all Federal, State and Institutional financial aid programs as it relates to the reporting, reconciling and processing required for all aid programs (federal grants, work study, state grants, external scholarships and institutional scholarships).

  • Evaluate and assist in decision making with the Director of Financial Aid regarding high level, complex policies and procedures as they relate to professional judgment, Satisfactory Academic Progress (SAP), Special Circumstances, and the awarding of discretionary aid.

  • Manage the administration of all Federal, State and Institutional financial aid programs to ensure the effective and efficient reporting, reconciling and processing needed for all aid programs (federal grants, federal work study, state grants and scholarships (institutional and external scholarships).

  • Attend professional developmental conferences, webinars and workshops for financial aid and VA to continually stay abreast of current regulations and changes applicable to the Financial Aid Office.

  • Hire, supervise and oversee training for Financial Aid Specialists.

  • Serves as second-in-command of the financial aid department and backup in the Director of Financial Aid absence.

  • Serve as the College’s primary Veteran Affairs School Certifying Official (SCO) in accordance with the U.S. Department of Veterans Affairs School Certifying Official Handbook.

  • Administer the VA Federal Educational Benefits Programs, Alabama GI Dependent Scholarship Program, and Alabama National Guard Education Assistance Program (ANGEAP).

  • Maintain and update the financial aid department web page.

  • Represent the College and the Financial Aid Office by preparing presentations to high school counselors, high school students, parents and other groups as needed.

  • Provide guidance to the financial aid team regarding daily/weekly Banner processes and tasks focusing on efficiency, customer service and effectiveness.

  • Take responsibility for monitoring registered hours for enrolled students and ensure that funds awards are adjusted as required by Federal, State or Institutional guidelines.

  • Assist the Director of Financial Aid with developing and articulating rules and regulations related to packaging and awarding of financial aid.

  • Assist the Director of Financial Aid with the collaboration of the Financial Aid Office with other institutional offices to include the Business Office, Enrollment Management Office and Academic Affairs Office as related to the administering of financial aid at the College.

  • Provide financial aid counseling for prospective and continuing financial aid recipients and/or their parents.

  • Authorize payment of Title IV funds to students’ accounts.

  • Assist the Director of Financial Aid in the preparation of the annual Fiscal Operations. Report (FISAP), the Program Participation Agreement and other required reports.

  • Assist the Director of Financial Aid in the development of department goals and evaluations of the Financial Aid Office.

  • Assist the Director of Financial Aid in maintaining accurate and confidential files for financial aid recipients and for students receiving veteran benefits.

  • Serve on College committees as requested.

  • Perform other financial aid duties as assigned by either the Director of Financial Aid or the Dean of Students.


 

Qualifications

Minimum Qualifications:


  • Bachelor degree in a related field from a regionally accredited institution is required.
  • Three (3) years of documented student financial aid experience required.
  • Ability to work in a high demand collaborative teamwork environment, maintain a positive attitude, communicate effectively and manage multiple priorities is required.
  • Ability to work with diverse populations and provide excellent customer service is required.
  • Ability to travel to and from all campus locations and attend activities and events in designated areas as assigned is required
Preferred Qualifications:
  • Knowledge of State and Federal VA Educational Benefits.
  • Experience with the Financial Aid Ellucian Banner System or similar ERP System.
  • Knowledge of Enrollment Manager.
  • Experience working at a two-year community college.
  • Previous supervisory experience
Required Knowledge, Skills, & Abilities:
  • Must be able to maintain strict confidentiality and discretion.
  • Must be able to communicate effectively, both orally and in writing.
  • Must have a thorough knowledge of Title IV funding and federal and state regulations, policies and procedures regarding administering financial aid.
  • Must have a working knowledge of Microsoft Office products, including Outlook, Word and Excel.
  • Must be efficient, dependable, flexible, responsible and motivated.
  • Must be able to multi-task and understand the urgency of deadlines.
  • Must be able to read and interpret federal and state financial aid regulations.
  • Must be able to learn and perform all essential job functions with minimal direct supervision.
  • Must be able to travel between campuses.
