Bargaining Unit/Salary Level: 
This is a full-time, in-person, salaried position on campus in Wells, Maine. The salary for this position is commensurate with the Agreement between the MCCS Trustees and the MEA Administrators Unit. Pay grade and title dependent upon level of experience. Full benefits package available.

 


POSITION SUMMARY
:

  • This position is responsible for the financial aid functions through the continual development, implementation, coordination, and monitoring of appropriate policies and procedures to establish and verify student eligibility, award, and disburse Federal Title IV, State of Maine, and other institutional and MCCS financial aid funds.
  • The position will implement and manage a computerized student records system; council and facilitate educational access for all students; and provide institutional statistics for purposes of research and reporting.

 


DUTIES AND RESPOSIBILITIES:

  • Reviews and determines financial aid eligibility for applicants.
  • Primarily awards Federal Direct Loans, Federal Works Study, Institutional Scholarships and may also award Pell, Supplemental Educational Opportunity Grant, and Maine State grant when needed, all consistent with federal, state, and institutional rules and regulations.
  • May verify and correct ISIRS (Institutional Student Information Record) and inform students via email/letter of missing documentation such as parent/student taxes, citizenship proof, selective service registration, social security numbers, or loan default resolution documentation to clear rejected records.
  • Manages $1.5 million dollars in federal student loan process for 300-500 students while understanding extraordinarily complex federal/state regulations associated with program.
  • Process student loans, including verification of loan application, Federal Entrance and Exit Loan counseling, counsel students on borrowing needs and recommended borrowing limits, certify loans daily weekly including Direct Stafford and PLUS loans, consult with federal guarantee agents, federal disbursing and servicing personnel, revise yearly forms and publications, manages student loan default prevention program: Powerfaids, EX, federal websites including COD, NSLDS, and FSA Access.
  • Daily and weekly file transmissions of secure data to and from the federal Central Processing System.
  • Manage resolution of data discrepancy, rejects, and other problems associated with transmission. Reconciles student financial aid accounts and approves student refunds with other offices.
  • Provide monthly financial aid presentations to prospective students/families during Financial Aid/Admissions workshops on campus and yearly at various high schools.
  • Utilize PowerPoint. Ensure compliance with Title IV rules and regulations.
  • Implement and utilize institutional/federal policies and procedures governing need analysis, student budgets, and various awarding strategies-based on interpretations of federal and state laws/regulations and private donor requests.
  • Train Financial Aid Representative and support staff and assign work projects for clerical office assistant (managed by another department) and work study student to ensure accuracy of work.
  • Verify correct operations of interface with the Business Office, Enrollment Services, and Admissions.
  • Required professional development training including but not limited to: Monitor SFA email, IFAP federal online seminar training, NASFAA webinar training.
  • Assist director in administering all aspects of the financial aid programs, and sit in his/her absence
  • Assist Veterans in applying for VA benefits.
  • Inform the State Approving Agency of any new, revised, or deleted programs.
  • Manages VA benefits program files for 50-60 students while understanding and utilizing complex federal regulations associated with the program.
    • Meets with auditors to ensure compliance.
    • Attend annual VA training opportunities.
    • Maintain up-to-date knowledge of VA certification regulations and guidelines.
    • Update records of VA students when adding and dropping classes to ensure recipients receive correct benefits from VA.
    • Counsels with veterans on benefits program, revises forms as needed, develops, and manages local VA web site, consults with State VA liaison.
    • Utilizes VA -ONCE web site when certifying student enrollment to VA.
  • Provide student/parent counseling daily on financial aid programs and on process.
    • Also provides counseling on student financial needs for institutional and other education related costs.
    • Correspond with students, parents, and members of the public to address complaints, supply information, or explain departmental procedures.
    • Effectively communicate with internal and external constituents regarding Student Financial Aid programs.
  • Manages the Federal Work Study (FWS) and student work program including review of applications, verifying identity and eligibility to work, requesting background checks, calculating eligibility, assigning work positions, completing work study contracts, reconciling bi-weekly timesheets, ensuring no over awards occur due to work study employment, and reporting and disbursing accurate final totals.
  • Certify outside scholarship programs including MCCS sponsored programs, manage scholarship website, maintains local financial aid web site.
  • Other administrative tasks, as necessary.

 


PREFERRED QUALIFICATIONS
:

  • 3 years of experience in post-secondary financial aid and/or student accounts.

 


Preferred Knowledge, Skills, and Abilities:

  • Knowledge of federal and state Student Financial Aid (SFA) regulations.
  • SFA needs analysis.
  • Experience with SFA computer programs.
  • High level of oral/written communication skills
  • Experience with computerized information systems
