Job Description

The School of Life Sciences is searching for a dynamic and driven Research Advancement Administrator. The primary role of the Research Advancement (RA) staff is to support research funding in the School of Life Sciences is to assist the SOLS community in all aspects of proposal preparation and submission. Research Advancement staff also serve as liaisons across campus between colleges, schools, departments, and research investigators in their interactions with the Office of Research and Sponsored Project Administration (ORSPA).

Essential Duties

  • Performing funding searches to help identify opportunities.
  • Reviewing funding announcements and guidance on eligibility and sponsor requirements.
  • Contacting sponsors for clarification of application guidelines.
  • Drafting budgets and budget justifications in conjunction with the Principal Investigator (PI).
  • Assisting collaborators (e.g., subcontractors) with questions related to completing required documentation (e.g., budgets, the scope of work, and other ASU required documentation).
  • Preparing sponsor budget forms or creating acceptable budget formats.
  • Assisting with and completing needed other sponsor forms, including the review for compliance (e.g., current and pending support, biosketches).
  • Completing and routing all internal documents using the established approval processes for sponsored projects.
  • Verifying and obtaining approvals for sponsor required cost-sharing.
  • Uploading files for sponsors requiring electronic submission.
  • Reviewing proposals against guidelines before sending to the Office of Research and Sponsored Project Administration.
  • The submission of completed proposal applications to the Office of Research and Sponsored Project Administration for review, signature, and transmittal to sponsor.
  • Assisting with post submission action items requested by the sponsor such as revised budgets, the scope of work, additional certifications, current and pending or other support documents, etc.
  • Assisting with compiling a bi-weekly research advancement newsletter to department faculty, postdoctoral researchers, etc.
  • Assisting with compiling applications for a departmental quarterly pilot funding program, notifying applicants of the outcome of their application, etc.
  • Other duties as assigned.

Minimum Qualifications

Bachelor's degree in a related field. Three years of experience in a field appropriate to the area/unit of assignment OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.


Desired Qualifications

  • Experience in research advancement (i.e., grants management/support) in a higher education setting.
  • Experience submitting system-to-system proposals Demonstrated knowledge of Uniform Guidance.
  • Experience interpreting funding announcements (requests for proposals) and guidelines from sponsors such as the National Science Foundation, National Institutes of Health, Department of Energy, Department of Defense, and various philanthropic organizations.
  • Experience interpreting federal and philanthropic award terms and conditions.
  • Evidence of effective communication skills – both written and verbal.
  • Experience in using creativity in determining and implementing solutions to problems.

Working Environment

Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds. Ability to clearly communicate to perform essential duties. Ability to work both independently or within a complex structured team. Works from general instructions on standard job duties and specific directions/ instructions on new assignments. Exercises judgment within defined procedures & practices to determine appropriate action.
