Job Description

The Interlibrary Loan Borrowing Specialist works with the Reserves and Interlibrary Loan Services team in the User Services Department of Hesburgh Libraries. This position fulfills interlibrary loan borrowing requests in support of the learning, teaching and research needs of the Notre Dame community. Knowledge of bibliographic records, citations, copyright practices and resource sharing techniques is required to effectively locate research material for the ND community from libraries across the United States and internationally. This position will utilize library tools such as; our library services platform (LSP), interlibrary loan system, and library discovery systems to evaluate and fulfill requests in a timely manner. This position manages all aspects of student staffing for the Reserves and Interlibrary Loan (RILL) Services team. Skill in leadership and supervision are required to effectively hire, train, and coordinate a cohort of student employees who provide support to RILL team members. The position assists in the operations of the Circulation Services and Document Delivery & Stacks teams and will possess a functional understanding of their services and workflows.

Duties Include:
  • Student Training and Management – You will hire, train, and manage a team of student employees. When appropriate, you’ll inform student employees about process and policy changes.
  • Team Collaboration and Professional Development – You will attend regular meetings, learn new processes, and keep current with changes in library and resource sharing policies.
  • Interlibrary Loan Processing – You will process borrowing requests in a timely manner by using advanced resource sharing techniques and library tools such as our library services platform (LSP), interlibrary loan system, and library discovery system. You will communicate effectively with patrons regarding details of their ILL account and requests. You will ensure that library materials get to their intended destination.

Experience with the library catalog, databases, and physical and electronic delivery services is necessary for accurate and expedient submissions, as is familiarity with alternative methods for fulfilling ILL requests.

Minimum Qualifications

  • Associates degree or up to 3 years of college or technical school
  • 2 to 3 years education or related combination of education and experience.
  • Knowledge of library automation systems, research citations, resource sharing technologies and internet resources.
  • Excellent communication, critical thinking, problem solving, time management, organizational, and customer service skills while working with a diverse population.
  • Must be physically able to perform the demands of the work including: pushing fully loaded book trucks weighing up to 200 lbs., lifting heavy books, stretching, bending, kneeling, crouching, and standing for extended periods.
