JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Heart and Vascular Institute (HVI) is seeking an Administrative Support Coordinator 5 with exceptional organizational skills to provide administrative support to the Research Associate Director and Research Faculty, along with office management to the entire faculty and staff of the HVI Basic Science Research Group.

  • Experience and working knowledge of grant submissions from start to finish, particularly NIH, AHA and internal grants for research faculty. Including budget development and personnel information. Coordinate applications, forms and meet deadlines for submission of final drafts. Collaborate with investigator/physicians & Research Affairs.
  • Manuscript preparation including bibliography formatting (Endnote) & submission to scientific journals. Research information, prepare charts and illustrations, compute and tabulate data, prepare summaries. Knowledge of NIH Public Access Submission and My NCBI.
  • Previous experience in both the clinical and research environment.
  • Working knowledge of IBIS, SIMS, RedCap, IAF, Cayuse and eRA Commons.
  • Experience with SIMBA and Lawson.
  • Experience with Workday/Worklion.
  • Use of Purchasing Card for authorized conference attendance and business-related travel, as well as items needed for the department laboratories and office.
  • Assist with travel arrangements and reimbursements for faculty and post-docs through SAP Concur and Anthony Travel.
  • Plan, organize, coordinate, and oversee daily office activities.
  • Coordinate AC-40’s for all HVI Basic Science and Clinical faculty with the HVI Research Associate Director.
  • Track 5-year Post-Tenure faculty reviews for all HVI Faculty with HVI Research Associate Director
  • COINS – annual faculty review in coordination with HVI Research Associate Director
  • Work with HVI Research Director for IAF review and approvals for research proposals
  • Assist with oversight of departmental projects and work plans to ensure deadlines are met.
  • Provide support for internal advisory boards relating to grant research.
  • Research and compile background material for meetings; develop agendas, and schedules.
  • Resolve complex inquiries and ensure compliance with departmental and/or University policies and procedures.
  • Assistance in preparing presentations for research faculty.
  • Oversee work unit files, records, databases and reports; ensure University records and retention guidelines are met.
  • Coordinate collection of data for annual or periodic reports, grants, etc.
  • Promote and enhance effective communication of goals, vision, and initiatives to adhere to the strategic plan/mission of the department.
  • Supervise staff responsible for administrative operations.

This position typically requires an Associate’s degree or higher plus 5 years of related experience or an equivalent combination of education and experience.  Requires thorough knowledge of University policies and procedures, specifically relating to financial and research areas.

The successful candidate must have excellent written and verbal communication skills, interpersonal and management skills, the ability to handle multiple priorities and deadlines and be able to exercise discretion and confidentiality in handling sensitive and confidential information pertaining to faculty, staff and students, and University-wide committees.
