POSITION TITLE: Senior Executive Coordinator


POSITION SUMMARY:

The Executive Coordinator (EC) reports directly to the Chief Advancement Officer (CAO) acting as their primary coordinator and liaison for external relations. The EC assumes responsibility for filtering projects; responds to requests; and collaborates on Marketing, Development, Communications, Philanthropy activities and initiatives. The EC manages the CAO calendar and activities to ensure maximum efficiency and value.


RESPONSIBILITIES AND DUTIES:

  • Responsible for day-to-day management of the CAO's calendar and activities to ensure high value time utilization of the CAO in relationship to external and internal requirements. Brief/update the CAO on upcoming meetings and ongoing obligations.
  • Responsible for the timely preparation and presentation of materials for key external and internal meetings involving the CAO.
  • Reviews CAOs email communications and assists in providing timely responses to inquiries sent to CAO.
  • Works with internal teams to prepare CAO for external meetings, presentations, and events, and ensures timely follow up of all action items.
  • Organizes CAO travel arrangements and prepares expense reports.
  • Prepares briefing memos and relevant updates for CAO on outstanding projects, identifies issues, develops contingencies, and suggests remedies.
  • Assists with or manages special projects which may include PR, securing high profile speaking engagements, annual reports, or specific personnel and organizational development initiatives.
  • Details of established essential functions for this position will be addressed/discussed during the interview process.

REQUIREMENTS:

  • Bachelor's Degree is required or equivalent work experience.
  • Minimum 2-4 years' experience as executive assistant to high level management.
  • Excellent organizational skills: flexible and able to multi-task, with demonstrated resourcefulness in setting priorities.
  • Strong verbal and written communication skills; ability to effectively present and execute innovative ideas. Ability to write reports and business correspondence. Outstanding grammar and proofreading skills.
  • Ability to effectively present information and respond to high level inquiries from clients, donors, partners, Board Directors, and other members of the international community. Experience interacting with a Board of Directors strongly preferred.
  • Strong sense of accountability, integrity, and ability to handle highly visible responsibilities.
  • This is an on-campus position requiring 4 days per week working onsite from our La Jolla campus, with flexibility to work 1 day per week remotely from home.

PHYSICAL REQUIREMENTS:

May include: Stationary position for an extended period of time, traverse campus/facility as needed, operate machinery such as computer, phone, copy machine; exposure to cold or hot temperatures.

COMPENSATON:

The expected hiring range for this position is $80,700 to $91,600/annually, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
