We are seeking an Assistant to the Associate Dean of Nurse Education and Health Care Programs. This position will report directly to the Associate Dean of Nurse Education and Health Care Programs. This person will provide support for the Senior Vice President of Academic and Student Affairs as well as the Associate Dean for Nurse Education and Health Care Programs in the efficient operation of the programs. On a weekly basis, the Administrative Assistant will spend approximately 60% of work time at the Passaic Campus and 40% of work time at the Paterson Campus.

This is a full-time, administrative position.

Example of Duties:

  • Process applications to the Nurse Education program.
  • Prepare reports, invoices, memorandums, letters, clinical agency contracts, didactic memorandum of understanding and other documents using word processing, spread sheets, database, and presentation software for Senior Vice President of Academic and Student Affairs as well as the Associate Dean for Nurse Education and Health Care Programs.
  • Analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
  • Maintain departmental, faculty and student records and files in electronic and/or hard copy as appropriate.
  • Maintain appointments schedule by planning and scheduling meetings, conferences, interviews, webinars and travel.
  • Monitor, maintain, and order department office and instructional supplies.
  • Assist with the collection of data and preparation of reports.
  • Assist with planning and implementation of pinning and other ceremonies.
  • Attend meetings to record minutes.
  • Administering Student Rating of Instruction for full-time and adjunct faculty.
  • Perform other duties as assigned.

Qualifications:

  • Bachelor's degree required; health care background preferred.
  • Five years executive-level support experience required.
  • Superior computer skills and knowledge of various software programs, including Microsoft Office suite, One Drive, Excel, and research engines required.
  • Excellent verbal and written communication skills.
  • Demonstrate ability to work independently and as a team.
  • High degree of discretion dealing with confidential information.
  • Ability to manage multiple projects in fast paced environment.
  • Travel between campuses required.
  • Excellent interpersonal skills and ability to work with a diverse student population and college community.
