HOW YOU WILL IMPACT OUR MISSION
The Senior Executive Assistant provides high level administrative support to support needs of the executive office, including but not limited to maintaining calendars, coordinating meetings, receiving and placing calls, communicating on behalf of the executive office, drafting and sending communications, providing guidance to team members seeking the executive's time, and many other roles as assigned. This position is accountable to the CEO and COO, and reports to the Chief of Staff.

WHAT YOU WILL DO

  • Provide comprehensive administrative support including managing complex calendars, schedule management, agendas, itineraries, expense reports, projects, research, travel arrangements, reservations, personal duties as needed and ad hoc requests.
  • Anticipate needs, including keeping CEO/COO well-informed of upcoming commitments and responsibilities, gathering, drafting, and proofing meeting details, agendas, correspondence, letters, reports, and/ or recording accurate and detailed meeting notes as needed. Proactively prioritize daily, weekly, and monthly tasks and organize internal and external meetings.
  • Supervise and manage the work of the Executive Office Assistant, providing guidance and training.
  • Develop and edit briefing materials, presentations and speeches to prepare CEO/COO for internal and external engagements, working with other team members as necessary to provide materials and support.
  • Serve as a liaison between the CEO/COO and executive team, team leaders and external VIPs, maintaining discretion and confidentiality.
  • Maintain proper recordkeeping, filing, and organizational systems for all work and relevant documents and agreements (incl. logins and passwords).
  • Support CEO/COO with advance preparations for VIP and dignitary meetings and events including introductions, working with other team members as necessary to provide materials and support.
  • Support the development of internal and external communications for the CEO/COO.

WHAT WE ARE LOOKING FOR

This individual should be a strong problem solver who is comfortable asserting priorities, and someone who thrives in a fast-paced environment. The successful candidate will have a demonstrated ability to multi-task and will navigate competing priorities. Available and accessible to the CEO/COO during established office hours, and beyond normal business hours. Leads and coaches senior administrative staff. Fosters teamwork among the executive assistant team.

  • JOB EXPERIENCE
    • At least five years of experience supporting executive office level duties is preferred.

  • EDUCATION AND CERTIFICATIONS
    • Bachelor's degree in related field preferred.

  • SKILLS AND KNOWLEDGE
    • Positive attitude and energy, commitment to the team, and a deep desire to learn are essential to success.
    • Able to communicate effectively, both orally and in writing.
    • Demonstrated ability to manage highly complex situations with a high level of tact and diplomacy.
    • Demonstrated ability to manage multiple projects with competing deadlines using superior time management techniques.
    • Able to operate moderately complex computer software programs.
    • Must have superior organizational skills.
    • Strong working knowledge of best practices for managing schedules and a busy executive office.

IMPORTANT DETAILS

  • Salary Range: $86,200 to $95,320
