HOW YOU WILL IMPACT OUR MISSION

The Executive Office Assistant supports the Executive Office staff and performs administrative and clerical duties. This position reports to the Senior Executive Assistant.

WHAT YOU WILL DO

  • Support members of the Executive Office, including the CEO, COO and Chief of Staff, in collaboration with the Senior Executive Assistant.
  • Coordinate and maintain the complex schedules and calendars of the CEO and COO, handling confidential information with discretion and professionalism.
  • Coordinate travel for executive office team members, including building itineraries, coordinating schedules and completing reservations.
  • Arrange meetings with, and develop and maintain relationships with, internal and external stakeholders.
  • Develop presentations and materials for executive-level meetings and speaking engagements for the CEO and COO in collaboration with Marketing, Events and Philanthropy departments.
  • Assist Chief of Staff with coordination of presentations and materials for the Board of Trustees, including materials for quarterly Board Meetings & Committee Meetings as well as writing bimonthly Executive Office Report for the Board Digest.
  • Provide other miscellaneous administrative assistance to the executive office team, including preparing monthly expense reports, ordering supplies, managing shipments and training others on conference room A/V.

WHAT WE ARE LOOKING FOR

  • JOB EXPERIENCE
    • Must have at least two years' experience in a high functioning office environment.
    • Strong customer and guest service skills preferred.

  • EDUCATION AND CERTIFICATIONS
    • High School Diploma Required.
    • Some College Preferred

  • SKILLS AND KNOWLEDGE
    • Demonstrated ability to operate a wide variety of high tech office equipment.
    • Must have basic mathematical skills.
    • Ability to communicate effectively, both orally and in writing, in the English language.
    • Bi-lingual in Spanish language is preferred.
    • Demonstrated ability to handle a variety of interpersonal situations with a high level of tact and diplomacy.
    • Able to operate moderately complex computer software programs.

  • Position Type: Hourly Full-Time Non-Exempt Position
  • Hourly Range: $37.69 to $41.67
