Essential Duties and Responsibilities

 

  • Identify and assist students eligible to graduate with degrees and/or certificates through a process of credit review reporting, and student, faculty and staff outreach.
  • Receive graduation requests each semester and examine student records verifying all requirements for graduation have been met to complete Banner processes and award degrees. Prepare related reports providing regular updates on graduate counts to appropriate departments.
  • Provide customer service to degree applicants concerning graduation requirements. Refer students to advisors in the event a student is determined to have not completed program course requirements. Act as liaison between the student and department in resolution of discrepancies as needed.
  • Regularly evaluate reverse transfer applicants to determine student eligibility and complete processing to award degrees for those meeting graduation requirements.
  • Collect and manage applications for the annual commencement ceremony, compile list of attendees, and provide support for the ceremony to include list generation, degree card printing, diploma and cover ordering, etc. Oversee related graduation correspondence including notification letters and diploma distribution.
  • Compute academic honors and special recognitions to include in the academic record if applicable. Compile student lists and honors information for commencement booklet ensuring printing deadlines are met.
  • Serve as primary contact for Degree Works to include managing set up, adjustments, maintenance, and scribing of curriculum for all college degrees and certificates.
  • Ensure degree audits for each of the college’s degree and certificate program are available and accurate. Load course waivers and substitutions into Degree Works.
  • Work with appropriate college personnel to stay abreast of all proposed and approved curriculum changes, ensuring approved changes are updated promptly and accurately. Participate in curriculum committee and other meetings as necessary to create or update programs in Banner.
  • Regularly review the college catalog and make edits as necessary to ensure completeness, accuracy, and conformance with policies, procedures and regulations.
  • Receive and process outgoing transcript requests and enrollment verification letters ensuring data integrity is maintained for college transcripts and other records.
  • Complete transfer transcript evaluation and related Banner processing as college transcripts are received. Ensure course equivalency and transfer articulation tables are maintained and updated in the student information system.
  • Perform queries and prepare regular reports using Argos, TargetX Retention, and other database reporting tools.
  • Assist with enrollment monitoring and reporting to external agencies and state offices, which may include ACCS, NJCAA, and National Student Clearinghouse.
  • Provide guidance to students, faculty, and staff on policies and procedures related to registration, coursework, credits, degree requirements, records retention, and FERPA.
  • Provide support for routine enrollment management tasks and inquiries to prospective and continuing students, which may include phone support, data entry, registration, program changes, and other activities related to student records.
  • Attend trainings, workshops, and conferences as recommended and approved by the supervisor and participate in job related professional development.
  • Participate on college committees as required or assigned.

 

Qualifications

 

  • Bachelor’s degree from an accredited institution, required.
  • Two or more years of full-time work experience in an institution of higher education with direct roles in college admissions, registration, or academic advising, required.
  • Experience working in a student database such as Banner or Peoplesoft, required.
  • Master’s Degree from a regionally accredited institution, preferred.

SALARY: Compensation is in accordance with the Alabama Community College System’s Salary Schedule E1-2 ($49,686 - $66,8321).
