This is advanced clerical- accounting work involving the application of bookkeeping principles and practices. The incumbent performs advanced bookkeeping duties in recording, reviewing, processing, and controlling financial records and documents. Work involves detailed examination of a variety of records and documents for propriety, quality, and accurate conformance to established business office procedures and university policies. The work is performed independently within a framework of prescribed accounting procedures and university regulations. The Accounts Payable Fiscal Technician is expected to provide clerical support within the Business Office.  The duties associated with this position include but are not limited to the following:

ESSENTIAL JOB FUNCTIONS:
 

  • Process Direct Payment files, including received and approved DP documents, logging, assigning Direct Pay numbers, assuring that appropriate signatures are obtained.
  • Process Travel Authorizations and Travel Reimbursement requests. Work as Procurement Shared Services liaison for PCards and Travel Cards.
  • Research and respond to vendor inquiries relative to outstanding invoices in a courteous and timely manner. Create and/or update vendor information as needed.
  • Prepare reports and proposals for payment processing.
  • Resolve issues/inquiries concerning payments to vendors, purchasing issues and staff concerns regarding use of the PCard/Travel cards and other concerns.
  • Review, categorize, classify, scan and file all signed documents for Chief Financial Officer
  • Review invoices, match them with purchase orders, secure appropriate signatures on invoices for services that were rendered to the university including professional services, speakers, utilities, etc., to assure timely payment.   Research invoices without purchase orders and email appropriate individuals concerning this issue.
  • Maintain inventory of supplies and equipment and re-orders in accordance with budgets and grant compliance.
  • Process invoices as needed
  • Develop reports as needed in Excel or using SAP or BI
  • Open and date all incoming mail daily. Pick up mail as needed.
  • Serve as back-up to the Accounts Payable team.
  • Reconcile accounts payable and goods received for the general ledger.
  • Quarterly reviews of uncashed checks and open Purchase Orders
  • Other duties as assigned

 

Requirements

Education, Training, and/or Experience:
A bachelor’s degree preferred; an associate degree in accounting or business administration a minimum three years of related work involving the maintenance of fiscal or financial records, including one year of responsible work which involves the application of accounting or fiscal principles and practices.
