Work Schedule

Monday-Friday, 40 hours per week, Hybrid, may require some nights and weekends

Other Work/Responsibilities

Primary responsibilities of the Event Coordinator include:

Conference planning, implementation, and administration

  • Serve as the primary point of contact for all logistics related to the Water and Health Conference; speaker/volunteer/attendee management
  • Oversee all aspects of conference registration to include; troubleshooting the platform, managing customer service requests, training volunteers/staff
  • Lead the marketing efforts related to conference planning to include; hardcopy/virtual program development, webpage management, communications and media; email campaigns
  • Co-Chair the conference planning committee, maintaining accurate meeting minutes and action items for each member; owning the responsibility to manage member deadlines/directives
  • Consults event stakeholders to perform needs assessment, recommending options for space, format, technologies, logistics, and other event details
  • Assist in the administration of travel scholarships and visa letters requested by conference participants
  • Serve as conference concierge and resource for VIP guests and UNC Senior Leadership
  • Assist in administrative tasks associated with abstract review; communications; tracking completion, follow-up with assigned reviewers
  • Provide support for coordinating and organizing the schedule of presenters and events under the overall conference program
  • Budget management to include preparing and managing resource estimates (budget, effort) to ensure value on investment; contract review and finance management to ensure vendor payment
  • Administer conference surveys and summarize key metrics/feedback for senior management; schedule post-conference debriefs/feedback sessions
  • Support conference-related fundraising efforts, including basic market research needed for optimizing sponsorship packages/benefits, scheduling outreach/information sessions, and providing customer service to sponsors as needed

Minimum Experience/Education

High School Diploma.

Department Required Skills

Required Skills:

  • Advanced knowledge of office productivity software such as Microsoft Outlook, Word, PowerPoint, Excel, TEAMS, and Zoom. Prior experience with similar responsibilities.


Preferred Years Experience, Skills, Training, Education

Preferred Qualifications, Competencies, and Experience

  • Have good working knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint and event registration software
  • Certified Meeting Professional (CMP) preferred
  • Higher Education experience preferred
  • 2-3 years of event management experience
  • Proven track record delivering high-stakes, high-impact events requiring complex planning and successful engagement of notable participants
  • Extremely organized with great attention to detail
  • Superior collaboration, teamwork, and team leadership skills
  • Experience overseeing budgets and contracts
  • Committed to efficient, excellent, effective event management through listening, clear communication, and conducting business with cultural and contextual sensitivity
