Job Description

 

Position Summary

Under the direct supervision of the Dean of Students, this position provides administrative and secretarial support for the Student Services Department. 
Salary Schedule: Appropriate placement on Salary Schedule E3 04 based on experience ($38,979-$56,128)

Essential Duties and Responsibilities

 

  1. Perform general secretarial/clerical duties including, but not limited to, keyboarding, filing, copying, notetaking, transcribing, and other office operations. 
  2. Provide optimal customer service including, but not limited to, courteous and responsive written and verbal communication.
  3. Receive and direct in-coming telephone calls and visitors to the area. 
  4. Prepare written correspondences, invoices, reports and other documents. 
  5. Prepare travel request packets and organize itineraries as appropriate.
  6. Prepare or summarize reports of a statistical and/or narrative nature for internal and external distribution. 
  7. Monitor calendar and e-mail to assist the area administrator with appointments, due dates and timelines.
  8. Assist in planning and organizing meetings and workshops as needed.
  9. Maintain and safeguard the confidentiality of documents, general files, and other pertinent information.
  10. Organize and maintain a filing system for office records as appropriate.
  11. Process and disseminate incoming mail as appropriate.
  12. Maintain an inventory of office supplies, forms, equipment, etc., and prepare requisitions as needed.
  13. Prepare requisitions for purchase order generation for procurement of materials and supplies.
  14. Perform inquiry and input into the administrative software system as required.
  15. Keep current on upgrades in technology as related to the specific area and assignment.
  16. Serve on college committees and participate in college functions as assigned.
  17. Assist and/or provide secretarial support in other areas of Student Services as needed.
  18. Perform other job related duties assigned by the Executive Vice President and Dean of Students.

Qualifications

REQUIRED EDUCATION, EXPERIENCE, STANDARDS, AND TRAINING:

  • Associate’s Degree or equivalent 
  • Two years of work experience in a fast pace office environment
  • Technical/computer skills and well versed in using various software programs, office equipment, personal computers/laptop 
  • Written and verbal communication skills

 
PREFERRED QUALIFICATIONS:

  • Experience in using Ellucian Banner 
  • Previous work experience in an educational setting.

PHYSICAL REQUIREMENTS:

  • Ability to lift, carry or move, pack and unpack boxes and up to 25lbs
  • Ability to sit for prolonged periods, type and work on a computer
  • Ability to operate in a fast-paced environment and able to multi-task
  • Ability to travel between multi-campuses and for professional development within the State
