Job Summary

Plan and manage the administrative support for assigned research programs and projects within a school or research center. Includes supervision of program/project related financial accounting and reporting, coordination of proposal preparation and submissions, event management and general office support. Responsible for setting employee goals, assessing employee performance, providing feedback, and making pay recommendations. This position will interact on a consistent basis with: research program/project managers and faculty, Institute financial management program sponsors. This position typically will advise and counsel: program/project management This position will supervise: May supervise assigned administrative personnel.

Responsibilities

Job Duty 1 -
Establish and implement administrative policies, procedures and guidelines applicable to assigned projects.

Job Duty 2 -
Organize and make assignments to administrative support staff; monitor performance and provide feedback.

Job Duty 3 -
Administer budgets associated with assigned programs/projects to include tracking expenses and preparing budget reports.

Job Duty 4 -
Organize and facilitate proposal preparation and submission to include coordination of data collection, routing and editing.

Job Duty 5 -
Make arrangement for program related symposia, workshops, meetings and other events.

Job Duty 6 -
Maintain liaison with Finance Office personnel regarding program budgets, expenses, inventory, etc.

Job Duty 7 -
Monitor and coordinate preparation of reports related to program/project progress.

Job Duty 8 -
Perform other duties as assigned

Required Qualifications

Educational Requirements
Bachelor's Degree in Business Management or related field or equivalent combination of education and experience

Required Experience
Six to eight years of job related experience

Preferred Qualifications

5+ years experience in establishing and implementing administrative policies, procedures and
guidelines applicable to assigned projects.

3+ years experience in budget creation/allocation, supervision, execution, expense tracking, budget monitoring, re-planning and successful completion of programs or projects

3+ years experience with project proposal preparation including data collection, proposal modification, and submission.

5+ years experience with GTRI policies, practices and procedures.

5+ years experience in creating and organizing assignments to administrative support staff; monitoring their
performance and providing feedback.

3+ years experience in all of the following areas: Booking travel arrangements for employees, completing travel request, expense reports, and travel reservation modifications.

5+ years experience in facilities management including soliciting competitive bids, contract negotiation, invoice auditing, and contractor discipline

5+ years in cost job cost accounting experience including job cost distribution and allocation.

5+ years experience with all MS Office products. Must demonstrate experience with MS Word, Excel, Outlook, PowerPoint and Teams.

Must have outstanding communication and interpersonal skills working with other departments and outside companies.

Must demonstrate excellent organizational and leadership skills.

Must be comfortable working in a fast-paced, self-driven, environment generating and communicating self-derived daily work tasks to meet the team's vision and goals.

Clearance required: US citizen with ability to obtain a Secret clearance

Knowledge, Skills, & Abilities

SKILLS
This position requires supervisory and organization skills and knowledge of general office administrative processes and practices as applied in a research laboratory or center environment. Working knowledge related to research project accounting, budgeting and reporting is required as are skills in records management and event planning. Use of office related computer applications is required.
