Job Description:

Title: Registrar

Unit: Full Time Non-Unit Professional

Department: Enrollment Management/Registrar

Reports To: Assistant Vice President of Enrollment Management

General Summary:

The Roxbury Community College Registrar is the official custodian of all student information system records. Under the direction of the Assistant Vice President of Enrollment, she/he leads the technical, administrative, and operational functions of the Office of the Registrar as they relate to registration, student academic records, and records maintenance for all students. As the official keeper of the college's student records, the Registrar plans, organizes, and directs the processing, maintenance, and certification of all student records, working collaboratively with administrators within academic affairs, student affairs, and information technology department.

The Registrar will oversee registration, course and classroom scheduling and publications, recording and archiving student grades, transcript and degree information, transfer and credit evaluation. Additionally, the Registrar will oversee course catalog history, degree audits and graduation certification, and other activities related to students in all courses and programs offered by RCC in accord with accreditation standards and state and federal privacy regulations, particularly the Family and Educational Right and Privacy Act (FERPA).

Essenteal Job Functions:

  • Strategy, Collaboration, and Student Success
  • Provide direction and supervision for all activities pertaining to the Registrar's Office
  • Implement a student-ready course schedule in collaboration with Academic Affairs and Student affairs leadership
  • Develop, implement, and maintain student-centered registration processes to support enrollment and retention efforts using the Jenzabar Student Information System
  • Oversee the process for submission of final grades and ensure the accurate and timely review of transcripts.
  • Oversee the degree audit and conferral process
  • Assist with the college's planning and execution of the annual Commencement exercises.
  • Maintain the accuracy, integrity, security, and storage of student academic records.
  • Oversee the maintenance of communication regarding academic policies, procedures, and key enrollment dates, such as, but not limited to, the college catalog, electronic forms, and student website.
  • Assessment, Reporting, Technology and Compliance
  • Serve as a liaison to Information Technology services in the support of student information systems.
  • Ensure compliance with all local, state, and federal regulations related to student records and enrollment status and requests for student data (e.g., National Student Clearinghouse, Higher Education Information Resource System).
  • Supervise the confidentiality of student records in compliance with the Family Educational Rights and Privacy Act (FERPA) and deliver FERPA training to college constituencies.
  • Monitor, evaluate, analyze and enhance operational effectiveness and implement changes as required for continuous improvement.
  • Leadership and Administration
  • Hire, supervise, and lead Registrar's Office staff.
  • Serve on various committees as a representative for Enrollment services
  • Actively engage with professional organizations (e.g., AACRAO, NEACRAO) to stay current on professional development, higher education trends, and best practices.
  • Preform other related duties as assigned

 
Requirements:

  • Minimum of three (3) years of experience in a college or university Office of Registrar (preferably in the role of Assistant Registrar or Registrar)
  • Bachelor's degree required. Master's degree preferred. (Information Technology, Computer science or related fields - preferred)
  • Strong computer skills for utilizing Student Information Systems (Jenzabar preferred)
  • Comprehensive and sophisticated understanding of the application of technology and automation for student record creation, maintenance and storage that follow best practices in higher education.
  • Understanding of FERPA regulations and enforcement procedures (preferred)
  • Knowledge of the admissions, financial aid, and communication components of the enrollment process. (preferred)
  • Strong attention to detail, strong decision-making capability, high level of professionalism.
  • Experience working with diverse populations
  • Ability to collaborate effectively with administrators, faculty, and staff across college departments, and other college stakeholders
  • Strong oral and written communication

 

Additional Information:

This Position is a Full Time Non-Union Professional position.

Salary Range: $85,000 - $95,000 Based on experience. 

Hours: 37.5 hours per week, Monday - Friday 9am - 5pm (with some extended hours and/or weekends)
