Administrative Assistant, Human Resources

Summary: Full-time position will provide administrative support for the Human Resources Department. The successful candidate will work with sensitive employee data, and therefore must have the ability to maintain the highest degree of confidentiality at all times. A high level of accuracy, attention to detail, and strong computer skills (Office 365) are also critical in this position. In addition, strong face to face, phone and email communication skills are vital. Candidates with prior experience working within a human resources function or department are preferred. Regular operating hours of the College are M-F 8:00am to 5:00pm, with the potential for a condensed summer schedule.
 
Primary Function: To coordinate and perform varied assignments with a minimum of direct supervision, using independent judgment and discretion.
 
Responsibilities: Work with the staff assigned: (1) Performing duties which would facilitate office functions either as directed or independently: manage office procedures and work standards and prepare detailed reports, act as a liaison for the department, utilize information processing systems as appropriate to the office. (2) Performing secretarial duties: type copy from printed material or from rough draft; proofread typed materials for accuracy; prepare agendas for meetings, attend and record proceedings; maintain accurate files and record systems using appropriate follow-up procedures; receive and screen visitors with discretion; answer, make and screen telephone calls; handle routine correspondence and inquiries not requiring the supervisor’s immediate attention; schedule appointments, handle communications and maintain accurate files involving confidential matters (3) Implementing Special Responsibilities: as assigned by the supervisor.
 
Organizational Relationships: (1) Responsible to the immediate supervisor for performance of assigned responsibilities. (2) Ability to relate well to people to ensure that the office is projected in an effective manner in dealing with both internal and external constituencies of the College. (3) Coordinate work within the office and between offices with other staff members. (4) Relate role to College and departmental goals.
 
Qualifications: (1) Education: High School diploma or equivalent required, Associate Degree preferred. (2) Skills, Knowledge, Abilities: (a) accurate keyboarding skills necessary (b) Proficiency in Office 365 software and standard computer systems including Access, One Drive, and SharePoint; c) knowledge of methods of effective communications; (d) self-expression abilities, both written and verbal; (e) ability to organize projects and handle several projects at the same time; (f) ability to make independent decisions in the absence of the supervisor; (g) ability to maintain confidentiality, (h) high degree of attention to detail and accuracy is required. (3) Experience: (a) minimum of three years’ experience required with demonstrated competency to perform the duties involved, preferably in a public oriented position. (b) minimum of one year of customer service experience. (c) minimum of one year of experience in higher education preferred.
