Position Summary:

The Administrative Assistant performs skilled, confidential administrative support tasks for an executive or multiple executives at a CSCU campus, the College Office of CT State Community College, or at the CSCU System Office. For those at the System Office, the Administrative Assistant may support multiple departments or divisions. Support services typically are provided for such executives of major functions such as Academic and Student Affairs, Finance and Administration, Facilities, Legal Affairs, Human Resources & Labor Relations, Information Technology and the President’s Office.

Incumbents must possess proven ability to effectively work with a culturally, linguistically, and ethnically diverse faculty, staff, and student. They are expected to have excellent oral and written communication skills along with strong Information technology literacy skills such as Microsoft Office (Word, Excel, Outlook, Teams etc.)

Example of Job Duties:

Under the supervision of the Dean of Academic Affairs or another executive, the Administrative Assistant is accountable for these essential functions:

  • Reception.
  • Preparation of correspondence and reports.
  • Maintenance of schedules and online calendars for the executive(s) to whom assigned,
  • Scheduling and operating video and audio calls using the system’s platforms.
  • Organizing and maintaining confidential records in both electronic and paper files.
  • Developing and submitting procurement requisitions on behalf of the requesting department/division in the preparation of purchase orders.
  • Assists in developing and administering departmental expense budgets based on established spending needs.

Minimum Qualifications:

Demonstrated ability to produce quality written materials using computer equipment and software, to produce spreadsheets using associated software; demonstrated ability to meet personally with a variety of people as a representative of the CSCU System; These skills and abilities normally are acquired through a combination of experience and training in a professionally oriented office setting of three (3) or more years.

Incumbents are required to have demonstrated advanced knowledge and abilities in the following:

  • Strong organizational skills to maintain an orderly and efficient office operation.
  • Strong skills in Banner and MS Office suite.
  • Strong skills in virtual meeting applications.

Preferred Qualifications:

  • Experience with databases, e.g., HRIS, Student Information Systems, etc.
  • Experience working with excel.
  • Experience providing administrative support to a Director level or higher administrator.
  • Associate’s degree in Business Administration or related field.
  • Professional work experience in customer service and/or community relations.
  • Bilingual or multilingual

Starting Salary:

Anticipated Salary; $60,123 approximate annual plus excellent State of CT medical insurance, retirement, and related fringe benefits.

Selection Procedure:
