Overview

Foley & Lardner LLP's San Diego office is looking for an Assistant to join their team. The right candidate will provide legal assistance to our Litigation and Patent Prosecution attorneys in the daily operation of practicing law by providing quality work product for clients. The Assistant will also perform duties through the performance of complex secretarial and clerical tasks and produce documents relating to specific functions and requirements as set forth within practice groups using the firm standard word processing and other applicable software.

Responsibilities
    Prepare and revise legal documents (e.g. pleadings, discovery, motions)
  • Anticipate attorney's needs and provide document production services, including styling and formatting of documents (including Table of Contents and Table of Authorities); proofreading and checking for appropriate formatting, spelling and grammatical errors
  • File and serve documents in state and federal courts
  • Assist with all procedural aspects of patent prosecution including preparation of shells for filing applications, responses, IDSs, transmittal documents and all related forms promptly, with attention to detail
  • Assist the attorneys by researching court rules for state and federal courts in which the attorneys practice
  • Manage electronic e-docket, maintain secondary docket; collaborate with primary docketing department, client team and USPTO
  • Manage inbox/emails by acknowledging, distributing, and saving to electronic document repository (NetDocs)
  • Create, organize, maintain, and retrieve physical and electronic client, research, and administrative files utilizing NetDocs
  • Invoice and expense report review and processing through Chrome River
  • Correspond with clients, attorneys and staff to ensure instructions are received and deadlines are met
  • Submit conflicts check(s) and new client matter information through OPEN; prepare engagement letters and assist with client billing as required
  • Draft, revise, and transcribe attorney correspondence
  • Respond appropriately to emails, telephone calls, letters and/or visitors; use resources to resolve and answer routine questions
  • Schedule appointments and make arrangements for conferences and travel; maintain attorney's calendar and contacts
  • Set up meetings as requested, ensuring all required materials are organized in advance and greet clients/guests as necessary
  • Input Partner's time in Intapp and record information
  • Receive and redirect attorney requests and needs as appropriate to expedite solutions
  • Prepare documents and packages for mail, messenger and overnight delivery; ensure that all attachments, exhibits, and enclosures are intact
  • Back-up other assistants as needed and provide exceptional collaborative services across client teams and offices
Qualifications
  • High School Diploma or GED required; Associate's Degree or Bachelor's Degree in a related field preferred
  • Minimum of three (3) years of litigation and/or intellectual property legal support experience required
  • E-filing experience required
  • Applicable knowledge of California Civil & Federal Procedure strongly desired
  • Proficient in the use of Microsoft Word, Outlook, PowerPoint and Excel
  • Keen attention to detail and able to think critically and analytically in a pressured environment
  • Ability to prioritize, multitask, and manage deadlines
  • Excellent verbal and written communication skills to interface with attorneys, clients, vendors, court personnel and other staff members

Pursuant to the CA Pay Transparency for Pay Equity Act, the expected salary range for this San Diego based position is between $51,900 - $118,300. Actual pay will be determined based on experience and other job-related factors
