Position Summary/Purpose of Position:

The Event Coordinator position in the Office of the President provides administrative assistance to the Assistant to the President for Events and provides operational support to the Office of the President. This position plans and manages complex, high-quality events, meetings, and conferences that engage internal and external communities and showcases the University of Maryland. This position will support the Assistant to the President for Events in managing VIP visits, presidential receptions, and other presidential events. The Event Coordinator regularly handles matters of a highly confidential or sensitive nature.

The responsibilities associated with this position is to assist and support the Assistant to the President for Events with event planning which includes: strategic coordination of scheduling events; contacting vendors; reviewing and negotiating contracts; arranging site visits; menu/décor research and selection; booking venues, photographers, and scheduling guest speakers. Other responsibilities include: developing and maintaining important relationships to promote the University, both internally with faculty, staff and students, and externally with general, academic, industry, government, alumni and donor audiences; archive files as required; preparing event reports as instructed; and drafting and reviewing various types of correspondence.

This position will work collaboratively with campus partners to ensure each event is tailored toward the overall goals of the unit and aligns with the expectations of the Office of the President. The Event Coordinator will work with the Assistant to the President for Events to determine event objectives and will assist with event programming and budget planning. The position independently will manage and track event expenses and handle event follow-up and evaluation. The Event Coordinator will be expected to attend events that will require working in the evenings and during weekends.

Additional responsibilities include interacting with officials, faculty, staff, students and the public on a daily basis; independently receive and screen telephone calls and visitors for the central office; and refer callers and/or visitors to the appropriate department or unit.

Minimum Qualifications:

Education:
Bachelor’s degree required.

Experience:
Three (3) years of professional experience in related fields or a combination of education and experience.

Knowledge, Skills and Abilities:
  • Excellent interpersonal and organizational skills and the ability to work effectively with a wide range of constituencies in a diverse community are necessary.
  • Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources are required.
  • Exceptional attention to detail and superior customer service skills are required.
  • Experience in meeting tight deadlines and juggling multiple responsibilities.
  • Ability to maintain confidentiality.
  • Experience providing administrative support.
  • Outstanding communication skills, both oral and written.
  • Ability to establish and maintain collaborative relationships.
  • Ability to work in a fast-paced office and complex organization.
  • Must be able to work independently and in a team environment.
  • Ability to interpret and apply policies, procedures, regulations, and laws.
  • Proficient in Microsoft Office and Google applications.

This position requires the ability to work evenings and weekends.

Preferences:

  • Work experience at a higher education institution is desirable.
  • Experience using event management software is preferred.
  • Understanding of University policies and procedures is desirable.
