Job Description:
Madison College School of Professional & Continuing Education is seeking an Administrative Coordinator. This position encompasses an array of responsibilities, all centered around providing complex and varied process coordination and administrative support to staff, faculty, and students. A significant aspect of the job involves maintaining up-to-date and accurate information on programs, courses, and classes. Additionally, the position requires the independent communication of service unit and District policies and procedures, necessitating a high degree of discretion.
 
In this role, the Administrative Coordinator must regularly demonstrate initiative and decision-making skills, often in situations that require effective public relations and organizational abilities. These skills are crucial for carrying out the various responsibilities effectively, including data management, process coordination, and other administrative support tasks.
 
This is a full-time position Monday through Friday 8:00am – 4:30pm
 
Reporting directly to the Manager of School Operations, the role is pivotal in ensuring the smooth functioning of school operations through its multifaceted support and coordination activities.

Responsibilities:
  • Serves as contract lead for all PeopleSoft functions.
  • Advises employers and students for business and industry classes.
  • Serves as the department buyer, duties involve coordinating and overseeing purchases related to contracts and other departmental acquisitions, utilizing P-cards for efficient transactions. Oversee reallocation processes to ensure accurate account allocation and takes the initiative to initiate purchase orders. Assists in grant coordination and administration. Tracks grants and establishing effective communication as a liaison with various units to foster internal grant partnerships.
  • Responsible for data management for business and industry.
  • Communicates service unit and District policies and procedures with discretion and regularly uses initiative, decision-making, effective public relations, and organizational abilities to carry out responsibilities. Provides detailed customer service support to students, faculty, staff, and the community by fostering and nurturing productive working relationships within the department, across the college, and with external customers.
  • Maintains a commitment to the college mission, vision, and values. Comply with college policies, directives, and work rules.
  • Other duties as defined by department, college, or officials.
 
Knowledge, Skills, and Abilities:
  • Skill in communicating effectively and professionally, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Knowledge of higher education environments, both community college and four-year including program and course structure, demonstrated thorough knowledge of the principles, practices, and technologies involved in day-to-day operations.
  • Ability to use critical thinking and analysis to pro-actively solve problems and improve processes.
  • Ability to plan, direct, verify the work of others and facilitate an academic operations process system.
  • Ability to manage difficult or emotional situations using tact, sensitivity, candor, and directness.
  • Ability to work independently and use sound independent judgment.
 
Qualifications:
  • Associate degree
  • Two (2) years of work experience, directly related to the skills required for successfully performing the duties of this position.
