Position Summary

The Administrative Assistant for the Nursing Division shall perform a variety of administrative and clerical duties necessary for the efficient operation of the assigned office.

SALARY
Commensurate with experience as determined on Salary Schedule E4, Grade 05 of the Alabama Community College System Board of Trustees salary schedules.

Essential Duties and Responsibilities

 

  • Answering telephone calls, maintaining the office calendar, scheduling appointments and greeting and receiving visitors, faculty, students, guests or other persons having business with personnel in the office.
  • Organizing and maintaining office files, to include student files.
  • Taking notes and preparing minutes of meetings as necessary.
  • Typing letters, reports, memorandums, proposals, and other correspondence utilizing word processing, database, and desktop publishing functions.
  • Providing general assistance to the functional unit assigned and students utilizing a variety of office equipment, e.g., typewriter, personal computer, photocopier, facsimile, etc.
  • Assisting, as assigned, with the coordination of various college-wide activities.
  • Performing budget management functions (e.g. preparing purchase requests for office supplies, inventories of supplies, and office holdings).
  • Serving on college committees, as appropriate.
  • Participating in professional development activities, as required, to address any deficiencies or weaknesses identified by personnel evaluations within the institutional effectiveness process.
  • Sending information packs to potential students.
  • Maintaining and updating the nursing webpage.
  • Assisting with student advisement.
  • Submitting timesheets and other requested reports in a timely manner.
  • Performing other related duties as assigned.
  • Replenishing copies of the following:
    • Nursing Application Packets
    • Handbooks
    • Clinical handouts for students
  • Checking PN and ADN student folders for the following:
    • Handbook verification sheet
    • Essential function sheets
    • Health statements, CPR cards, background checks, drug screens
    • Vaccination verifications
  • Screening of potential PN/ADN application packets for the following:
    • ACT of 18 or higher
    • Eligibility to take ENG101 and MTH100 or higher
    • Check academic courses taken for admission ranking
    • GPA of 2.5 or higher
    • ACCS data information
  • Distributing and collecting survey data to PN and ADN graduates and employers which include:

Qualifications

Minimum of an associate degree or the equivalent from a regionally accredited institution. Three years of full-time experience working in an office setting.
