College and Area Information:

Eastern Arizona College’s District Offices are located in Thatcher, Arizona, a beautiful rural area with easy access to arid as well as mountainous recreation. The College is located approximately 125 miles northeast of Tucson and 165 miles southeast of Phoenix. EAC is a comprehensive community college offering five associate degrees across nearly 50 programs of study. Eastern Arizona College is the oldest member of the Arizona Community College system and is fully accredited by The Higher Learning Commission.

Position Summary and Organizational Relationship:
The Executive Assistant position reports to the Vice President of Administration/CBO and will perform a variety of administrative tasks in support of the district office. This role will work closely with all departmental colleagues and other college personnel to facilitate the smooth functioning of the department. The position will also serve as a point of contact within the department, providing a high level of customer service as required to faculty, staff, students, external bodies, and visitors. This is an important role that requires accuracy, attention to detail, a professional demeanor, and superior
communication skills.



Required Qualifications:
Required qualifications to effectively perform job. An equivalent combination of education, training, and experience will be considered.

  • Associate degree in office administration or a related field.
  • Self-starter who works well under moderate supervision and with close co-worker relationships.


Essential Functions:

  • Perform a variety of simple, moderate, and complex administrative tasks in support of the Vice President of Administration/Chief Business Officer.
  • Assists in preparation of board report packets for the VP of Administration.
  • Serves as the contact person for scheduling facility usage and events. Gathers information about the client’s objectives, budget and preferences for the event and provides advice about food menus, decorations and entertainment.
  • Becomes a subject matter expert with CourseDog Software, utilized for managing events and facility scheduling.
  • Handles problems that arise to ensure events run smoothly.
  • Communicates with all vendors and suppliers before, during and after events.
  • Generate facility contracts for events, obtain approval signatures, distribute copies, and send fees to Fiscal for billing. Ensures Certificate of Liability Insurance is on file.
  • Take minutes at executive, administrative, and committee meetings, as assigned.
  • Coordinates the program meetings by creating the agenda, sends meeting invites, reserves meeting rooms, and send and respond to correspondence, as assigned.
  • Provide wide-ranging administrative support across the college as needed.
  • Assists in the budget publication.
  • Provide a high level of customer service to students, staff, and the public.
  • Accurately maintain records, prepares contract information, collects all necessary documents, and produces reports, as assigned. Assists in preparation of audits as requested.
  • Provide guidance and training to more junior or new team members, and support to other assistants as needed.
  • Purchase supplies and equipment required, coordinating orders and processing invoices, and monitor budgets on General Ledger.
  • Creates and maintains SharePoint sites, program web pages, and social media sites with program information. Assists others with utilizing sites and obtaining information.
  • All other duties as assigned.

  • Proficient in using Microsoft Office 365 including Outlook, Word, and Excel, electronic communication and
information tools and general office equipment with good typing and data entry skills.
  • Ability to learn new software.
  • Organized thinker with exceptional attention to detail.
  • Knowledge of risk management to identify potential legal liabilities and take steps to mitigate them.
  • Ability to take notes and minutes.
  • Exceptional oral and written communication skills for dealing with clients, vendors, staff, and the public.
  • Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
  • Ability to work effectively in a busy environment.
  • Ability to handle sensitive information and maintain a high level of confidentiality, discretion, and professionalism.
  • Excellent customer relations demeanor and skills.
  • Basic understanding of budgeting and finance principles.
  • Ability to maintain accurate records.
  • Strong ability to retain knowledge.

equipment.
  • Regular attendance is a necessary and essential function.


Working Environment:
Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

  • Work is performed in an office environment under general office conditions.
  • Subject to standing, walking, sitting for extended periods of time; bending, reaching above the shoulders and
horizontally to retrieve files and supplies; kneeling and occasional lifting of objects up to 15 pounds.
  • Exposed to moderate noise levels.

Compensation and Position Availability:
The initial position compensation range is $56,142.00 - $65,499.00, annualized and is an exempt position. The anticipated
position start date is as soon as practical once the successful candidate is identified.
