JOB DESCRIPTION
 
DISTINGUISHING FEATURES OF THE CLASS :
 
The work involves serving at a reception desk of a County department, institution, clinic or agency receiving and directing callers and performing routine clerical tasks. Work is performed under the supervision of an administrative, technical or clerical employee of higher rank. Responsible for receiving clients, patients, officials and the public in person or on the phone, referring them to the proper staff member and maintaining related records and files. Does related work as required.
 
TYPICAL WORK ACTIVITIES :
  • Greets callers and directs them to the appropriate staff member, section or department, initiating a routing slip where necessary;
  • Maintains files on clients, patients or other callers and insures that files and records are readily available for staff usage;
  • Maintains neatness in the work area and keeps up bulletin boards;
  • Performs routine typing including letters, case histories, minutes and file records;
  • Maintains a log of appointments;
  • Receives and distributes incoming messages and packages and mail;
  • Operates a small department switchboard;
  • Refers telephone calls to proper staff personnel for answer;
  • Maintains time and attendance records;
  • Performs routine data entry.
 
KNOWLEDGE, SKILLS AND ABILITIES :
 
Candidates must be able to demonstrate awareness and sensitivity towards promoting an inclusive and diverse learning environment. Good knowledge of the current methods of maintaining and checking financial accounts and records; good knowledge of office terminology, procedures and equipment; good knowledge of business arithmetic; ability to make arithmetic computations rapidly and accurately; ability to understand and follow detailed oral and written instructions; resourcefulness; dependability; physically capable of performing the essential functions of the position with or without reasonable accommodation.
 
MINIMUM QUALIFICATIONS:
 
Graduation from high school or possession of a high school equivalency diploma and supplemented by one (1) year of office experience, which included public contact.
 
SPECIAL REQUIREMENTS:
