The New Student Services department is a dynamic team working together to recruit new students to MSU Billings (MSUB). This position performs a variety of support tasks for all prospective, transfer and readmit students, as well as faculty and staff at MSUB. This position serves as part of a team to facilitate better prospect recruiting technology strategies that provides campus wide solutions. This includes supporting all five colleges across MSUB by providing outstanding customer service and guidance to matriculate prospective students and their families from their first inquiry to enrollment.

The Enrollment Technology Support Specialist (ETSS) is part of a team that provides support for the implementation and maintenance of the Customer Relationship Management System (CRM) database and other enrollment related software at MSUB. The Specialist uses, tests, and trains other users on the components of these solutions. The ETSS is responsible for building and maintaining admission applications, events and inquiries in the CRM that are fluid and flexible to meet the needs of the campus. The ETSS must have good communication and negotiation skills. Must be systems thinker with the ability to describe complex concepts in layman’s terms and to seek out efficiencies to simplify procedures, partnering as necessary with technical units to deliver successful solutions.

Under supervision from the Executive Director of Undergraduate New Student Services, this individual:

  • Works collaboratively with the Director of Admissions, and the Admissions team to support the applications for enrollment; import/export student data, support the department with applicant data requests, and other data driven requests
  • Works with the New Student Services Team to set recruitment goals and outcomes; utilizing the data and building of forms that meets the needs of the division with little direction while helping to facilitate process improvement and support a students journey to matriculation
  • Manages assigned recruitment territories and assist in providing training as needed to NSS and Admissions teams to maximize the ability of the CRM and related enrollment software through constant training and the rolling out of new functionality
  • Coordinates the admissions application load between the SIS, and other third-party applications, and the CRM on a daily basis. Identify any issues related to loading admissions applications including integration issues and data discrepancies. Works with the CRM System Administrator and the Enterprise Services Team members to resolve issues in a timely manner.
  • Coordinate the duplicate ID process for campus CRM under the direction of the NSS Executive Director and the Director of Admissions. This requires careful consideration, review and coordination between many offices across campus
  • Analysis of CRM and related software effectiveness across multiple platforms including Argos, google analytics, and others to augment data driven decisions about enrollment and prospective student trends. Stay ahead of technology advances and trends, best-practices, and 3rd-party solutions and offers solutions that will help reach enrollment goals.
  • Refers students to campus and community resources as needed to address barriers
  • Collaborates with CRM system administrator, MSU and MSUB IT, academic departments, professional and faculty advisors, the advising center, admissions, financial aid, and all MSUB student support services and campus programs for all five colleges.

Education Required:

  • Bachelor’s degree (preferably in the areas of education administration, business administration, computer science or close equivalent)

Experience Required:

  • At least two years of related experience in providing some combination of website development, application support, data management, report development, Java/HTML, and functional student services. Required web development experience.

Education Preferred:

  • Master’s degree

Experience Preferred:

  • Some experience working with Microsoft, Dynamics, Power BI.
  • Experience with front end technologies and programming
  • Experience working with website design or communications management
  • Experience with operations in Higher Education Enrollment Management areas
  • Experience using a student information system or client relationship management system
  • Proficiency in SQL and Access
  • Proficiency in HTML/CSS/Java
  • Experience working with student enrollment divisions and recruitment teams
