Job Description:

Administrative Assistant I, Center for Alternative Studies & Educational Testing

Grade 15, AFSCME Unit position, 37.5 hours/week

Campus Location: Danvers Campus: Monday, Thursday, Friday; 9:00 am - 5:00 pm; Tuesday and Wednesday; 11:00 am - 7:00pm

SALARY: $1,820.73 biweekly, ($47,338.98 per year) with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement. GENERAL STATEMENT OF DUTIES:

Provides administrative and testing support for the Danvers campus of the Center for Alternative Studies and Educational Testing while contributing to office planning, financial matters, student intake, registration and record keeping. Supports the Executive Director and works closely with Alternative Studies Coordinator and Testing Coordinator as needed. Contributes to the efficient and welcoming environment of the testing center. Acts as faculty testing liaison with Lynn campus office and departments/divisions within the college community. Assists in the development and implementation of policies and procedures. Maintains records; prepares, reviews and analyzes reports; and performs related work as required.

DUTIES AND RESPONSIBILITIES:

  • Provides initial contact with student and makes referrals to appropriate CAS services.
  • Compiles/updates forms and publications including brochures, reports, schedules, and calendars.
  • Provides support to Executive Director
  • Provides support to CAS Coordinators and Assessment Officers as needed
  • Assists departmental staff on routine computer and equipment issues.
  • Distributes and proctors online, hybrid, and faculty course testing as needed
  • Processes all forms and documents related to Credit for Prior Learning.
  • Compiles statistics and runs reports on Credit for Prior Learning and Educational Testing using Cognos. Scans and indexes all documentation for electronic files.
  • Trains part-time staff on Testing procedures.
  • Alerts Coordinator of Testing and Director of administrative problems as they occur.
  • Collects and compiles departmental statistical records.
  • Develops and utilizes Banner expertise to access student records.
  • Prepares various documents, reports, charts, graphs, and projects as required. Verifies eligibility of students to participate in CAS programs.
  • Maintains office records for students and faculty involved in the programs of the Center.
  • Distributes forms and copies of records to designated College persons.
  • Obtains appropriate signatures on forms; compiles and verifies payment/purchases.
  • Makes referrals to other college offices as appropriate. Assists with all test administration in CAS.
  • Performs miscellaneous clerical work as required such as the receipt and distribution of mail; collating of brochures; operation of various office machines; reproduction of materials by copy machines.
  • Sets up, maintains and/or modifies filing system for past, present and prospective students as well as correspondence and other materials according to established procedures.

Requirements:

  • Associate's Degree in a related field, plus two years related experience or an equivalent combination of education and experience
  • Excellent organizational skills, ability to plan, and complete multiple tasks on schedule.
  • Exceptional computer skills' (experience with Banner and Campus Pipeline preferred). Demonstrated ability with Microsoft Word, Access, and Excel
  • Ability to maintain accurate records and to prepare and use charts, graphs and tables
  • Ability to gather and compile information from records and documents, to prepare general reports.
  • Well-developed interpersonal skills with the ability to promote teamwork among staff.
  • Excellent oral and written communication skills.
  • Ability to establish rapport and maintain harmonious working relationships with faculty, staff and students from diverse backgrounds.
  • Ability to exercise discretion in handling confidential information.
  • Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment.
