Job Summary

Uses advanced professional concepts and organizational objectives to resolve complex issues in creative and effective ways. Works on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Exercises judgment in selecting methods, techniques, and evaluation criteria for obtaining results. Contacts are both internal and external to the department at all levels.

  • preparation and distribution of the monthly individual physician key performance indicators reports with cFTE-based wRVU targets.
  • maintenance of the scheduled clinical effort in the DOM portal that support DOM-level databases and tools (DOMBONext and PRISM).
  • maintenance of the master faculty funding worksheets/tracking. 
  • preparation of payroll changes in UCPath.
  • back-up approver for UCPath payroll changes when Finance Manager is not available.
  • performing ad hoc modeling of changes to faculty incentive programs, pay plans, and other operational changes for the Division Chief, collaborating closely and rapidly on short notice.
  • providing ad hoc P/L statements on clinical faculty.
  • preparation of the annual faculty incentives for clinical, research and teaching activity to drive the missions.
  • preparation of the annual budget for all faculty, fellows, postdocs, non-faculty academics, and staff totaling $32M that is a mix of funds flow (profees), Division gifts, Faculty gifts, endowment income, discretionary funds, professional service agreements and contracts, and financial commitments to faculty for recruitment and retention.
  • providing annual scheduled effort summaries to all clinical faculty.
  • updating and issuing monthly reports for all of the non-sponsored finance (gifts, endowments, discretionary, etc.) used by the Division Manager, Division Chief, and individual faculty in decision support.
  • ad hoc back up for the Finance Operations Analysts for BearBuy and MyExpense as needed to ensure there is complete cross coverage and training across the unit and to alleviate backlogs due to surges in volume.
  • contributing to the development and implementation of optimal workflows, continual process improvement, and helping to facilitate collaboration and sharing of best practices within the Division for related workflows and/or activities.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Department of Medicine is the largest department in the UCSF School of Medicine. To advance health, the Department of Medicine develops and supports innovators in patient-centered care, scientific discovery, medical education and public policy across 5 main sites (Mission Bay, Parnassus, ZSFG, VAMC, and Mt. Zion) and 39 divisions.

The Division of Cardiology is one of the largest clinical, research and training divisions of the Department of Medicine (DOM) at UCSF. 

Within the Division are sub-specialty sections for:  General Cardiology; Adult Congenital Heart Disease; Advanced Heart Failure, Transplant, and Pulmonary Hypertension; Cardiac Electrophysiology; Cardio-Oncology and Immunology; Critical Care Cardiology; Echocardiography and Cardiac Imaging; Interventional Cardiology; and Preventive Cardiology. 

The Division runs several clinical practices in multiple sites, conducts basic and clinical research, and educates medical students, residents, clinical fellows and postdoctoral scholars through ACGME as well as non-ACGME training programs. 

There are 8 fellowships in the Division:  General Cardiology; Adult Congenital Heart Disease; Advanced Heart Failure and Transplant Cardiology; Cardiac Electrophysiology; Cardio-Oncology and Immunology; Echocardiography and Advanced Imaging; Interventional Cardiology; and Structural and Valvular Interventional Cardiology. 

While the Division is primarily split between the Parnassus and Mission Bay campuses (several locations), fellows have rotations at the Zuckerberg San Francisco General Hospital and the San Francisco Veterans Affairs Medical Center, and there are clinic sites in Chinatown and downtown San Francisco (Daniel Burnham Court) as well as in Berkeley, Fremont, Marin, Modesto, Salinas, and San Mateo.

In addition, the Division has significant and complex financial and administrative relationships with the Department of Medicine (DOM) and the UCSF Health System.  There are large patient care programs in the sections noted above, as well as large clinical, Federal, and privately supported research programs and 7 faculty laboratories.  The Division currently expends over $35 million per year in pursuit of its clinical, research, training, and service missions. 

The Division has over 200 personnel.  Of note, there are:  74 faculty (including 2 VCF and 1 MSP physician); 13 non-faculty academics (excluding WOS and visitors); 38 clinical fellows; 8 postdocs; over 65 research support staff; and 12 staff centrally for fellowship support, non-sponsored finance, HR, digital communications, and faculty administrative support.


Required Qualifications

  • 5 years of experience in administrative analysis or operations research
  • 4 years of experience with fund accounting
  • Advanced knowledge of finance policies, practices, and systems
  • Ability to identify, collect, and analyze information from multiple sources
  • Advanced ability to effectively present complex finance related information both verbally and in writing in a clear and concise manner
  • In depth ability to use multiple spreadsheet and database software tools to gather information for specialized, complex financial analysis, fiscal management, and financial reports
  • Advanced interpersonal skills at all levels within the organization; advanced service orientation and critical thinking skills; and attention to detail. In depth ability to use organizational skills to multi-task in a high-volume environment
  • Ability to adapt to changing priorities
  • Ability to function as a member of a team
  • Advanced knowledge and understanding of internal control practices and their impact on protecting University resources
  • Independent and strong critical thinking skills paired with strong skills in teamwork and excellent judgment in determining priorities and what decisions need to be moved to a higher level; work under deadlines, and manage multiple priorities at once
  • Demonstrated experience in managing large and complex projects from inception to completion on schedule          
  • Demonstrated knowledge and expertise in accounting and budgetary control procedures
  • Ability to prepare and present complex quantitative analyses, including financial projections and budgets
  • Expert-level proficiency with Excel
  • Demonstrated exceptional planning, problem solving, and decision-making skills
  • Excellent quantitative and analytical reasoning ability
  • Demonstrated ability to skillfully collaborate as part of a unit/team as well as within the organizational structure
  • Demonstrated ability to use discretion and maintain confidentiality

Preferred Qualifications

  • Comprehensive understanding of university policies, rules, regulations, procedures, and practices, particularly in regards to internal controls, budget, accounting and fund management
  • Proficiency and strong knowledge of handling of professional fees, division/department gifts, faculty gifts, endowment income, discretionary funds, professional service agreements and contracts, and financial commitments to faculty for recruitment and retention
  • Prior experience and proficiency working with UCPath, MyReports, PeopleSoft Journals, PeopleSoft Asset Management, PeopleSoft Research Administration, MyExpense, BearBuy, GLV, PeopleConnect, PLUS, HBS, and other UC software/systems
  • Prior experience in an academic environment
