Posting Summary
Rutgers, The State University of New Jersey, is seeking a Office Manager for UBHC-Brief Treatment-Edison. This position, manages office support operations and activities for the Unit. This position provides related secretarial and administrative services as required.
Among the key duties of this position are the following:
  • Plans and schedules the work of the section to make maximum effective utilization of employees, equipment, materials and resources within budgetary requirements.
  • Works collaboratively with the Director, Clinician Administrator and Program Manager/Clinician Supervisor to ensure that the unit operates efficiently and effectively on a daily basis.
  • Assists the Director, Program Manager, Clinician Administrator and or Clinician Supervisor with budget preparation.
  • Recommends the hiring, firing, promoting, demoting, merit increases, transfers and/or disciplining of employees and other personnel changes for the employees that report directly to her/him.
  • Develops and implements controls for work assignments.
  • Maintains department accounts, monitoring expenditures and insuring compliance with budgets.
  • Assists with support staff functioning; answering phones, greeting clients and appropriately triaging clients.
  • Acts as back up to other secretarial staff in his/her absence, performing all of their required duties

Qualifications


Minimum Education and Experience
  •  Associate Degree plus two (2) or more years of administrative experience or lead secretarial experience. 
  • Equivalent education, experience and/or training may be substituted for the degree requirement. 
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be proficient in Microsoft Word and Excel and be able to enter data into and run reports from Microsoft Access.

Preferred Qualifications
  • Knowledge of Banner and procurement policies and procedures preferred.
Equipment Utilized
  • Telephone, computer, Fax machine, Xerox machine.
Physical Demands and Work Environment
Physical Demands: Position requires standing to 1/3 of the time; requires walking under 1/3 time; requires sitting to 2/3 time; reach with hands and arms up to 2/3 time; climb or balance under 1/3 time, stoop, kneel, crouch, or crawl under 1/3 time, talk or hear over 2/3 time, requires lifting up to 10 pounds less than 1/3 time.
Work Environment: Moderate noise (examples: business office with computers and printers, light traffic).

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are vaccinated against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.
