Posting Summary
The Rutgers Law School seeks a PPL Secretary, Reporting directly to the Registrar’s office, this position provides administrative support to full and part-time faculty (assigned 12-20 faculty) by assisting with course preparation, research via the internet and other modern search avenues, making travel arrangements, preparing expense reports, procuring expenses, scheduling meetings and the like as required; preparation of simple spreadsheets and/or documents, photocopying, scanning, and uploading of materials, composing routine correspondence, assisting in the preparation of classroom materials and use office technology and software. Incumbent is the first line of assistance to assigned professors working in a team oriented and collaborative environment.
Provides confidential and coordinating secretarial/clerical support to a university administrator or office. Arranges meetings and associated logistics. Designs word processing routines to access, manipulate, and transmit files for specific uses and performs a variety of additional advanced and basic word processing assignments. Provides information; greets and directs visitors to proper destination; arranges schedules, appointments, and reservations; distributes mail; takes dictation; maintains records and files; and performs related duties.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
Requires a high school/vocational school education or equivalent plus three years of any equivalent combination of: secretarial experience, college-level study, advanced secretarial training, or clerical experience, provided secretarial experience accounts for at least one year of any such combination. Requires demonstrated data entry/word-processing/typing skills and working knowledge and the ability to use basic spreadsheet, word-processing, database software, and/or email. Must be able to communicate effectively. Must have effective client service skills. May require shorthand, stenographic, and/or machine transcription skills.

Required Knowledge, Skills, and Abilities
  • Demonstrated knowledge and understanding of modern office administration, organization, coordination, facilitation, and bookkeeping.

Preferred Qualifications
  • Bachelor’s degree in a related field or an equivalent combination of education and/or experience.
  • Familiarity with working in a university setting
  • Basic knowledge in Microsoft applications
  • Basic knowledge in learning platforms (i.e., Sakai, Canvas, etc.)

Photocopier, electronic media platforms
Physical Demands and Work Environment
May occasionally require overtime; may occasionally work virtually with faculty in either location.
