Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Assistant for the department of Pediatrics at the Robert Wood Johnson Medical School.
Under direction, assists with the programmatic functioning of the Robert Wood Johnson AIDS Program (RWJAP). Provides administrative and program support to the director of the RWJAP and other professional staff.
Among the key duties of this position are the following:
  • Assists in preparing proposals, develops budgets, prepares grant applications, proofreads and edits documents and processes proposals.
  • Consults and advises with members of the Project on content, timing, and documentation necessary for proposals to be submitted to funding sources.
  • Serves as principal liaison with Program Coordinator and/or Principal Investigator and other administrative personnel to coordinate grant application processes.
  • Ensures accuracy and timeliness of all grants related materials and applications.
  • Maintains all salary source allocations for awarded research grants and contracts. Monitors programmatic expenditures to ensure timely spending of grant funds and alerts PIs to overspending/underspending situations.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in Business Administration, Social Science or a related discipline plus one (1) year of related experience. 
  • Equivalent education, experience and/or training may be substituted for the degree requirement 
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Demonstrated proficiency in Microsoft Office (Access, Excel, Word, PowerPoint).
  • Demonstrated ability to work in a multidisciplinary team environment.
  • Demonstrated strong writing skills are essential.
Preferred Qualifications
  • Working with relational databases and electronic grant submissions.
  • Experience working with electronic purchasing systems and website editing.
  • Highly desired: Experience in Rutgers in-house systems, especially the new Oracle-based systems, Discoverer, PeopleSoft, RU Marketplace, and RAPSS, as well as outside sponsor systems (Grants.gov, Intelligrant, NJ Sage systems).
  • Knowledge of private and federal funding agencies.
  • Experience with Task Order requests and contracts through federal funding agencies.

  • Physical Demands: Standing, sitting, walking, talking or hearing. No special vision requirements. Must be able to lift or exert force up to 25 pounds.
