Why us, why now?
The Constituent Engagement Specialist is a critical team member within the Constituent Engagement Unit (CEU). The Specialist is responsible for supporting successful relationships with constituents in the Group on Diversity and Inclusion and the Group on Faculty Affairs by operationalizing strategies to advance the professional development needs of constituents in support of AAMC’s mission and strategic priorities.

The Specialist works closely with the GDI/GFA Director to ensure constituents receive high-quality professional development opportunities and optimized leadership experiences. Integral to the day-to-day operations of the Specialist is a willingness to develop innovative approaches to serve affinity groups and support the collective efforts of CEU and cluster partners.
 
How will you make an impact?

Communications Management
  • Serves as a point of contact for group members and group leadership.
  • Serves as staff liaison to affinity group committees and work groups.
  • Oversee and respond to email inquiries in group non-human email boxes.
  • Prepare and distribute all electronic newsletter and listserv communications for GDI and GFA.
  • Ensure that member databases are updated.
  • Represent the values of the AAMC to the affinity groups.
  • Ensure that listserves are maintained and kept up to date to reflect member changes and infill vacancies.
  • Collaborates with director and colleagues from meetings, facilities, and other units, to ensure high-quality, well-executed onsite experiences for in-person steering committee meetings.
  • Contributes to the preparation of meeting materials and documentation, including agendas, slides, reference materials, steering committee notes and minutes.
  • Ensures that individuals are properly designated to affinity groups and constituent records are accurate and up-to-date in the association management system database.
  • Maintains group communications platforms (e.g., Listserves, Webpages, etc.)
  • Owns the preparation and delivery of onboarding resources.
  • Coordinates nominating committees/nominating process and elections for steering committees and/or other positions within affinity groups.
  • Set-up and complete committee conference calls, web-based meetings and coordinates learning events with meeting colleagues.
  • Ensures relevant content is provided for affinity group websites.
  • Process member travel reimbursements for GFA and GDI.
  • Partners with the administrative specialist to ensure affinity group members properly execute and receive reimbursements.
  • Assists with the management of affinity group budgets.
  • Manages the process for awards for the GFA Carole J. Bland Award including nominations and selection committee materials, announcement, web-based submission platform and generation of summary reports for selection activity.
  • Coordinate notification processes and other award related logistics with AAMC Office of the President and cluster partners.
 
Professional Development Meetings and Learning Experiences
 
  • Plans and implements annual professional development conferences, including meeting budget and resources; speaker research and support; session and workshop logistics; CME support; and interactions with meeting planners.
  • In collaboration with director, subject-matter expert(s) and affinity group planning committees, plans professional group meetings and activities related to the Learn, Serve, Lead: The AAMC Annual Meeting.
  • Provides on-site relationship management and logistics support during professional development meetings to ensure high-quality constituent experiences.
  • Collaborates closely with meetings team to provide logistics support for speakers and guests.
  • Works with director and marketing unit to develop and execute tailored marketing plans.
  • Oversees logistics, including setting up registration and providing summary statistics, for and executes webinars and other virtual events.
  • Drafts PPT slides for in-person and virtual GDI and GFA meetings.
  • Time delineated projects with GDI and GFA and other affinity groups.

What you'll bring to the role

Experience/Education required
 
  • Requires a Bachelor’s degree, plus a minimum of 3-5 years post-graduate experience, including in a complex and fast-paced organization and in handling multiple priorities.
  • Candidates must also have previous experience with demonstrated success in association member relations, volunteer management, customer relations, and experience directly responding to a wide range of constituent/customer inquiries and requests. Experience working with individuals affiliated with academic medicine, medical education, health care, or higher education is desirable.

  • Strong knowledge of member data management systems and/or customer relationship management systems.
  • Advanced skills in meeting planning, both in person and virtual meeting offerings.
  • Exceptional attention to quality and consistency of communications, information, and data.
  • Detailed oriented with process matters and materials.
  • Strong interpersonal, written, and verbal communication skills.
  • Comfort with ambiguity, shared accountability, and teamwork.
  • Excellent time management; adept at managing multiple priorities and projects simultaneously.
  • Strong operational competencies, ability to establish goals, set targets, measure results, and achieve operational improvements.
 
Functional Expertise required
  • Understanding of customer relations, membership relations, and volunteer management.
  • Knowledge of and/or ability to master modern digital communications platforms, including Web, social media, and CRM communication systems.
  • Knowledge of academic medical center or the healthcare environments.
  • Experience working with individuals affiliated with academic medicine, medical education, health care, or higher education desirable.

If a bachelor’s degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
