Department Description
The Chemistry Department is a large and complex academic and research department located in the College of Letters and Science. The department has state and extramural funds with expenditures of approximately $28M annually including $8M in organized research. There are 29 staff members, 41 senate faculty, 4 continuing lecturers, many Federation appointees, Emeritus Faculty, Postdocs, Pre-Six Lecturers, and 250 graduate students and 650 undergraduate majors.
Job Summary
The Personnel Coordinator, under the general supervision of the Chief Administrative Officer (CAO), administers personnel actions, reviews payroll for accuracy, and obtains visas when necessary for student employees as well as non-instructional Federation members including researchers, project scientists, specialists and postdoctoral scholars in the Chemistry Department. The Personnel Coordinator also serves as back-up to the Academic Personnel Specialist who provides analytical and administrative support for all actions pertaining to academic personnel matters pertaining to instructional titles in the Chemistry Department. This position operates with a high degree of confidentiality, organization and attention to detail.

PHYSICAL DEMANDS
  • Physical Demands: Sit at computer and use mouse and keyboard for long periods of time

    MINIMUM QUALIFICATIONS
    Minimum Education/Experience:
  • Experience providing excellent customer service and assistance.
  • Experience using Microsoft Office Suite, Outlook and electronic accounting and academic personnel systems.
    Minimum Knowledge, Skills, and Abilities (KSA):
  • Knowledge of graduate student and non-teaching academic federation personnel actions.
  • Knowledge of rules and procedures for processing visa applications for international visitors and employees.
  • Skill to pay attention to detail, recognize discrepancies and make appropriate and accurate corrections.
  • Organizational skills to work independently including initiative and ability to set priorities; ability to organize work effectively to achieve timely progress on multiple simultaneous projects.
  • Interpersonal skills to clearly and effectively interact with people of varying ages and cultural backgrounds, in person and in writing; ability to clarify situations and resolve problems; ability to exercise tact and diplomacy, especially to resolve disagreements and conflicts.
    PREFERRED QUALIFICATIONS
    Preferred Education/Experience:
  • Experience interpreting and applying personnel policy in a higher education setting.
  • Experience gathering and analyzing information and compiling reports.
  • Knowledge of and experience with campus systems, including KFS, AggieService, HandShake, Cognos and UC Path.
    Preferred Knowledge, Skills, and Abilities (KSA):
  • Knowledge of UCD Academic Personnel Manual.
