This position assists the Director of the office (OUCCAS) and the University Program Associate in the coordination and implementation of the approval process of undergraduate courses and curricula at NC State University. This position is expected to provide a high level of analysis and excellent customer service with regard to the courses and curricular processes and management system. They research past precedence, revise training and documentation, and offer guidance and training to campus partners, faculty, staff, students, as well as some off-campus contacts. Duties also include working with the student intern and UPA on agenda creation and management, meeting coordination, taking meeting minutes for meetings of two faculty governance committees on campus as well as any pre-meetings or subcommittee meetings, and communicating with departments on campus.
Primary Duties:
- Committee Minutes: Take minutes during University Courses and Curricula and Council on Undergraduate Education meetings (with sufficient detail to allow for post-meeting followup), as well as any subcommittee meetings
- Scheduling: Schedule GEP Special Topics Courses
- Monitor the repeated offerings of these courses and alert departments before actions to create a permanent course must be initiated
- Website Maintenance and Development: Maintain information on the OUCCAS website including updating documentation and procedural information based on changes to requirements and processes at all levels
- Develop and maintain the internal OUCCAS website with resources and SOPs
- Research and write short stories periodically for the OUCCAS blog and course/program highlight
- Assist the Director in the research and implementation of projects and initiatives
- This generally includes benchmarking research, searching committee/policy history and precedence, as well as other projects as needed.
In Collaboration with UPA and Student Intern:
- Serve as point of contact for campus, including committee members, faculty creating courses and curricula, administration offices seeking information and support regarding undergraduate curricular matters
- Involves answering e-mails in shared inbox, phone line, and possible in-person activities based on campus status at the time of work
- Respond to requests for documents and questions involving past and current committee processes and actions. This includes doing research in a shared drive, google drive, and some paper, analyzing information, and synthesizing reports appropriate for diverse demographics and/or specialized to individual client needs.
- Review courses and curricula for compliance with University, system, accreditation, and federal policies
- Act as an administrator for the Course Inventory Management (CIM) system, including reporting, troubleshooting, and following up on tickets with LeepFrog
- Process changes/updates/maintenance of actions in CIM as appropriate
- Create, update, and send agendas and materials for meetings following open meeting laws
- Keep committee records and sites updated with agendas, google group rosters, etc.
- Facilitate communication and follow-up with departments and colleges for course approval results from committees

Bachelor’s Degree and/or 1 year of experience at a university position working with faculty.
Department Required Skills
Customer service, e-mail communication, Google suite, Microsoft Word and Excel, Adobe Acrobat, Wordpress and web development, co-hosting Zoom meetings, answering phones via Jabbr, balancing rotating deadlines and web and database research.
Preferred Years Experience, Skills, Training, Education
Bachelor’s Degree in higher education administration, training or development (especially adult learning and/or working with faculty), English, Political Science/Public Policy or equivalent. Preference given to work experience with taking minutes and in curricular approval at the university level. Experience with Courseleaf suite of software (CAT, CIM for Courses, CIM for Programs), experience working in higher education administration and faculty governance committees.
