Program Coordinator - Information Technology

 

DESCRIPTION: 

Edmonds CC's is seeking a detail oriented Program Coordinator to assist the department of Instructional Technology Support (eLearning and Technology Resources Center) in tracking and maintaining the efficient operation of the Instructional Technology Support (ITS) program and overseeing some departmental reporting requirements.  Responsibilities include functions such as analyzing data, modifying and/or maintaining databases, organizing and prioritizing office operations, keeping accurate office records and filing systems, generating documents, and monitoring and evaluating Department operational and self-support budgets.

Responsibilities will also include:

  • Serve as the primary contact for IT & eLearning. Answer phones, respond to email and provide face-to-face support.

  • Provide administrative support for the college's Chief Information Officer as needed.

  • Confer, correspond in-person, by phone and email with students, staff, faculty and outside agencies.

  • Manage, explain, interpret and monitor State and Federal regulations relating to eLearning.

  • Manage and monitor out-of-state students taking online classes for State Authorization compliance.

  • Manage and track purchases, reconcile and monitor budgets including centralized reconciliation of PCard purchases for IT & eLearning. 

  • Manage master list of IT & eLearning contracts, licenses and certificates and due dates

  • Extract, analyze, and compile data from College databases and other sources to produce reports for the Executive Director of IT & eLearning and other IT managers.

  • Track and manage data and produce reports related to online course enrollments and fees.

  • Compose and edit correspondence, marketing materials and web site content for accuracy, appearance, readability, and style prior to distribution.

  • Participate on campus committees.

  • Coordinate and facilitate on-campus seminars and workshops:  registration, confirmation, food, travel, facilities, payments.

  • Coordinate and schedule appointments or meetings for the IT & eLearning management team, as needed.

  • Coordinate room scheduling using 25Live for IT & eLearning as needed.

  • Establish and maintain hard copy and electronic files and records.

  • Perform complex word processing; use spreadsheets and database software using Microsoft and/or Google applications.

This is a classified staff position reporting to the Manager of Instructional Tech Support.

Qualifications

REQUIRED QUALIFICATIONS:

  • An Associate of Arts degree or Associate of Technical Arts degree in business administration or a closely related field or equivalent education and experience.

  • Two years of experience using office productivity tools such as word processing, spreadsheets, email, (Windows, MS Word, Excel, PowerPoint, and Google Applications).

  • Two years of experience with project and administrative support responsibilities.

  • Excellent written and verbal communication skills.

  • Ability to organize information into written documents and diagrams.

  • Ability to work with sensitive and confidential information.

  • Computer skills for Windows, Word, Excel, CEIPlus, PowerPoint, and Google Applications.

  • Ability to prioritize work and function within timelines; ability to be flexible to meet priority needs.

  • Ability to effectively work independently and cooperatively with a variety of people representing diverse backgrounds, life experiences, and abilities.

Additional Information

PHYSICAL WORK ENVIRONMENT:

Work is typically performed in an office setting. The ability to use a telephone, personal computer, and other electronic technology is required. These duties require repetitive arm and hand movements including keyboarding and sitting or standing for prolonged periods of time.

 

WORK SCHEDULE

Monday through Friday, 8:00 a.m. –5:00 p.m. May occasionally include some evening hours.

 

COMPENSATION:   

Salary range: Beginning salary is $34,944 - $39,264 annually for a 40 hours per week schedule, with incremental increases to $45,288 annually plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 10 scheduled holidays, 1 personal holiday, 2 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).

 

CONDITIONS OF EMPLOYMENT:

  • You must document your citizenship or employment authorization within three days of hire.

  • Position is subject to a criminal background check. Prior to a new hire, a background check including criminal history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.

  • This position is subject to a collective bargaining agreement.

  • All new positions are contingent upon funding.
