Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the School of Arts and Sciences. The Program Coordinator I is a member of the Division of Life Sciences Office of Undergraduate Instruction providing administrative support for over 1,000 undergraduate students and 50+ DLS faculty under general to little supervision.
Among the key duties of this position are the following:
  • Supports the daily activities of the Advising Office of Undergraduate Instruction, responding to student and faculty inquiries virtually, in-person, on the phone and by email.
  • Provides administrative support to the Life Sciences advisors.
  • Organizes, updates, and follows through on changes in the academic records for Life Sciences majors and minors.
  • Identifies and resolves discrepancies in students records, updates the OUGI Database and communicates information and responds to inquiries from students and faculty.
  • Maintains the SAS/SEBS MyMajor websites for all Life Sciences majors.
  • Attends In-Person departmental events and provides administrative back-up support in the Nelson Labs mailroom and DLS Copy Center.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Bachelor’s degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion/outreach.
  • Two years relevant experience in a program coordination or administrative function, versatile communication skills, and computer literacy.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Is expected to be knowledgeable about the data and its potential impact on the student’s ability to be certified for completion of Life Sciences majors/minors requirements.
  • The incumbent must be fluent and comfortable with all forms of electronic communications and processes.
  • The incumbent must have experience working with sensitivity yet retaining the integrity of the Division of Life Sciences policies.
  • Proficiency in Microsoft Excel and database maintenance.
Preferred Qualifications
  • Familiarity with the Rutgers University student records database (IMS) and Degree Navigator.
