Job Summary

Application Review will begin immediately and position will remain open until filled.

The Program Assistant is responsible for organizing and facilitating the operational flow of the department, greeting and receiving guests, directing visitors, coordinating the Assistant Dean's schedule, maintaining a database, and tracking grant expenditures.

The Program Assistant works on a schedule established by the Assistant Dean. The position involves frequent handling of confidential information and records. At times, minimal supervision is provided; the Program Assistant must be able to work independently and accurately prioritize tasks. 

This position is a part-time, grant-funded, 19-hours-or-less per week appointment

Renewal of position is contingent on funding levels.

Essential Job Functions

  • Provide clerical and administrative support to the Assistant Dean and part-time faculty.
  • Answer telephone, written, and in-person inquiries about the department and Parkland College.
  • Enter attendance and testing data into database of adult education students.
  • Monitor testing needs and assist with post-testing of students
  • Process registration paperwork and assist with maintaining student records
  • Track grant expenditures and monitor fiscal budgets.
  • Ability to execute all duties in a timely fashion.
  • Other duties as assigned. 

Minimum Qualifications

  • High school diploma or its equivalent.
  • Verbal and mathematical abilities sufficient to produce correspondence, communicate effectively, and perform other duties, including excellent use of English grammar.
  • Functional ability in Microsoft Office suite with the ability to learn databases used for grant compliance.

Preferred Qualifications

  • Courses or continuing education in office management, with special knowledge of technical material used by the department.
  • Three (3) years of experience in dealing with the public and organizing office procedures and operations.
