Position Summary Information
Primary Purpose of Organizational Unit | The Chemistry Department is one of the largest and most complex departments in the Division of Academic Affairs. There are 43 faculty members, 44 SHRA and EHRA staff positions, 260 graduate students, 33 postdoctoral research associates, 700 undergraduate majors, and an annual total of approximately 10,000 registrations by all students in classroom and laboratory courses. The Department is housed in five buildings with over 580,000 sq. feet of space. The faculty participate in teaching assignments which involve an average of 200 students per faculty member per semester. The majority of faculty are research active and supervise graduate students working on their Masters or Ph.D. degrees, undergraduate students carrying out independent research and honors programs, research technicians and postdoctoral research associates. Primarily the research is funded by federal and private agencies such as NSF, NIH, Army, Navy, DOE, PRF and involves expenditures of more than nineteen million dollars annually. A total of over thirty-two million dollars from all sources is expended annually in the Department. |

Position Summary | The Student Services Specialist will be responsible for the planning, development, and implementation of all phases of the student services operations for graduate and undergraduate students within the Department of Chemistry. The position will act on behalf of the Directors of Graduate and Undergraduate Studies in all matters concerning students and serving as liaison between students, faculty, various offices on campus (i.e.: Graduate School, Registrar’s Office, Advising Office, etc.) and the general public. This position will be responsible for oversight of all student services activities that includes, but is not limited to: graduate and undergraduate admissions for all programs; funding of graduate and undergraduate students; fellowship recommendations to the Graduate School; graduate and undergraduate recruitment and funding of the tuition remission, in-state awards, student fees and department fellowship awards; and course scheduling and registration for graduate and undergraduate students. One major aspect of this position will be to counsel the students – undergraduate and graduate – and will be responsible for tracking graduate and undergraduate student progress from the time they apply and are offered admission until the time their degree is awarded. |
Minimum Education and Experience Requirements | Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Required Qualifications, Competencies, and Experience | Expertise and experience using Microsoft Office, including Word and Excel Excellent written and verbal communication skills. Ability to work independently and within a team. Exemplary time management skills and must possess strong interpersonal skills. Excellent organizational skills, the ability to multi-task as well as be flexible and adaptable. Ability to manage time and meet critical deadlines. Must be able to follow through, complete tasks and resolve issues. Ability to work with a high level of accuracy and attention to detail. Demonstrate the ability to work with confidential and sensitive information. Must be able to exercise sound judgment and work independently. |
Preferred Qualifications, Competencies, and Experience | Prior experience using ConnectCarolina, PeopleSoft, Online Syllabus Manager (OSM), Online Learning Contract Manager (OLCM), and Ad Astra or similar systems. Knowledge of University policies, procedures, organizational structure, etc. related to student services. Prior experience working with graduate and/or undergraduate students within an academic unit. |

Campus Security Authority Responsibilities | This position is designated as a Campus Security Authority in accordance with the Clery Act. This position will be required to report Clery crimes to the Clery Compliance Manager and complete annual training about reporting responsibilities. |
