DATABASE MANAGER & PROSPECT RESEARCHER (FULL TIME)

Reports to: Director of Donor Relations

Summary of Position:

This full-time, exempt position is responsible for the overall management and integrity of the Foundation’s alumni and donor database. In addition, this position will manage all prospect research and assist with individual donor philanthropy plans. This position will also assist the Alumni and Professional Engagement team as needed.

Primary Duties and Responsibilities:

PROSPECT RESEARCH

  • Establish solid and reliable donor research methods to create detailed prospect profiles that will include information on community involvement, philanthropic activity, personal and corporate connections, important relationships, historical data and any other information relevant to the university and Foundation.

DATA REPORTING/BUSINESS INTELLIGENCE

  • Produce and maintain all standard activity reports such as: daily, weekly and monthly gift reports, prospect lists, gift officer action reports, goalsetting, Relationship Planning Guides (RPGs), scorecards and donor history reports

DATA MAINTENANCE AND SECURITY

  • Serve as the data protection officer responsible for overseeing data protection strategy and implementation to ensure compliance with local, state, national and international requirements
  • Administer all aspects of Raiser’s Edge, including database maintenance, security, upgrade and all data maintenance and update processes and import of new graduates
  • Develop special reports including annual census reports, fund reports, capital campaign reports, alumni participation reports, the annual CASE VSE report and all other reports from Raiser’s Edge as needed
  • Perform additional analytical procedures in and out of the donor database to support the business intelligence and research needs of the Foundation
  • Create and maintain effective appeal tracking policies and procedures
  • Manage and implement a data request policy and data request forms for all university stakeholders

MINIMUM QUALIFICATIONS, KNOWLEDGE AND ABILITIES

  • Bachelor’s degree preferred or equivalent combination of experience

  • Raiser's Edge database knowledge and experience preferred.

  • 3+ years of progressively responsible non-profit experience in database work.

  • Commitment to maintaining the security, confidentially and integrity of constituent data.

  • Working knowledge of Crystal Reports.

  • Ability to see the larger picture for a project and work towards achieving the goals.

  • Ability to work with a diverse group of people.

  • Detail oriented and well organized.

  • Ability to multitask in fast-paced environment.

  • Must have a strong customer service orientation.

  • Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow through and simultaneously manage multiple priorities to ensure goals are met in a timely manner.

  • Serve as the primary point of contact for business intelligence tools and resources (Example: AlumniFinder, ResearchPoint, DonorSearch, iWave, etc.)

DATA MANAGEMENT

  • Create policies and procedures to ensure the LHUF donor database is accurate and effective
  • Plan, implement and supervise the collection, entry, updating, output and usage of all demographic, financial, background and relationship information on all constituents, alumni, friends, corporations, foundations, organizations and all others
  • Work with staff to maintain accurate constituent records including address changes, contact updates, biographical information, news, new constituent records and cultivation notes
  • Arrange all necessary training for new users or new data systems and processes and provide Raisers Edge technical support to all users
  • Annual data maintenance, such as addresses, emails, phone, business appends
  • Regular clean-up/recoding

 

OTHER RESPONSIBILITIES

  • Provide a level of professionalism and courteousness to current and perspective donors, Foundation and University staff at all times
  • Generate miscellaneous donor and internal correspondence (phone/email/mail)
  • Provide administrative support for Foundation managers and University staff as needed and perform other tasks as required by the Director of Donor Relations and Operations
