Job Summary

Under minimal supervision, the Administrative Assistant provides secretarial and administrative support to the Associate Dean. Works and communicates with all levels of administration, faculty, staff, and students in areas that affect the Division. Safeguards and handles confidential information.

Under the direction of the Associate Dean, the Administrative Assistant provides assistance with purchasing, inventory, class scheduling, filing, hiring and payroll paperwork, budget reporting/monitoring, correspondence, calendaring, scheduling meetings, takes and distributes meeting minutes, catalog and curriculum processes, faculty processes, Program Advisory Committees, faculty contracts, coordinating travel arrangements for faculty and staff, and maintain appropriate documentation and files for the Division. May supervise part-time secretary or work study students.

Essential Responsibilities and Duties

Manages business affairs of office including supervision of division secretary, handles confidential information, follows through with all paperwork and special reports required by the college, school, division and departments, implementing procedures, and coordinating interoffice and intradepartmental written and verbal communications. Meets deadlines.
Responsibilities include compiling, writing, and editing quality finished correspondence, reports and memos. Coordinates calendaring, travel arrangements, inventory tracking and supply orders. Organizes and schedules meetings complete with minutes.
Processes and tracks fiscal and budgetary documents which may include purchase requisitions, overload and adjunct faculty contracts, interdepartmental billing, budget reconciliations and invoices.
Provides customer service to and coordinates with students, faculty, staff, administration, Program Advisory Committees and other industry and educational personnel in matters affecting the division.
Coordinates and works with departments to schedule classes each semester, organize curriculum documents, maintain syllabi, etc.
Maintains division files which include tenure information, accomplishments, faculty evaluations and tenure documents, rank advancements, student concerns, load forms, and adjunct faculty resumes.
Other duties as assigned.

Preferred Qualifications

Knowledge of Banner.

Previous experience working in an educational environment.

Experience making travel arrangements.

Experience with budgeting and spreadsheets.

Minimum Qualifications

Two (2) years of post high school education/training (60 completed credit hours).

Minimum of two (2) years of direct, paid, full-time experience.

Trade off 1:1 in experience/education requirement.

Knowledge, Skills & Abilities

Excellent office skills and knowledge of general office procedures and practices.

Experience with general office equipment.

Ability to use computer applications (i.e. Microsoft Office Word, Excel, PowerPoint, Outlook, Banner/College data systems)

Problem solving skills.

Basic knowledge of budget/accounting procedures.

Customer service and public relations skills.

Able to handle work of a confidential nature.

Ability to search and understand College policies and procedures.

Organized and detail oriented.

Note taking/minutes distribution.

Good communication/human relations skills.

Self-motivated, flexible, and quick to learn.

Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College.

Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities.
