General Summary

Reporting official to the Texas Higher Education Coordinating Board. Responsible for ensuring Odessa College is compliant with all policies, procedures and regulations related to state reporting.

Specific Position Duties

Provide leadership to, and oversee all operations of, the The Records Department; Oversee and ensure accuracy of NJCAA reporting of eligible student athletes in compliance with all applicable NJCAA academic rules; Oversee the development of appropriate policies and procedures to ensure accurate and timely transfer student transcript evaluation and accurate data input of transcript information into colleague database for use by advisors; Provide leadership in the development of policies and procedures for obtaining reverse transfer credit information to maximize student opportunities for obtaining a degree; Oversee development of Records Department annual strategic plan and budget; Develop as necessary and maintain as appropriate standards for each functional area within the Records Department, including handling of student appeals, timely response to student transcript requests, timely data entry of transfer student transcript information and timely response to faculty requests for student information. Responsible for monitoring Federal Educational Rights and Privacy Act to ensure the college is in compliance with all federal policies related to confidentiality of student information; Oversee the development, refinement and documentation of pocesses and procedures in the Records department; In cooperation with the Department of Institutional Effectiveness, provide data to faculty, staff and others, as appropriate, to assist in the development of a ‘data-driven-decision-making’ culture; Perform other duties as assigned. Oversee as necessary the training of faculty and staff on the use of student records;

Masters Degree Effective interpersonal and team building skills Excellent written and verbal communication skills Ability to manage workflow and meet deadlines A personal philosophy of excellent customer service and ability to communicate that philosophy to others
