Job Summary

Under limited supervision and as a member of the program support team, primarily provides front line support as a receptionist and secretary in the Allied Health and Health Professions Division office with additional reception and secretarial duties provided to associated clinics within those Divisions as required. This job requires a block of 4 to 5 hours for a morning or afternoon shift with a set daily schedule.

Essential Responsibilities and Duties

Performs routine clerical functions and front office reception duties to answer, screen, and forward telephone calls; take telephone messages; receive and distribute mail; disseminate program and special event information; complete program purchase requests; take minutes; maintain files; enter data, create master calendars and schedules; arrange for transfers of surplus of equipment; assist program coordinators with capital equipment, computer, and program inventories; order textbooks, oversee checkouts; organize, tidy, inventory, and maintain work and break space areas; obtain, electronically file, and oversee compliancy for syllabi; meet deadlines; maintain confidentiality; and participate in cross-training tasks. Routine clerical functions include copying, scanning, filing, shredding, printing, and producing finished quality memoranda, documents, correspondence, and reports using Microsoft Office and SharePoint. Perform other routine clerical duties as assigned. May occasionally require early morning or later evening hours.

Preferred Qualifications

College coursework or related work experience in an executive office support position or customer service setting.
Experience working in an educational environment.
Experience working in a community college.

Minimum Qualifications

High school education with training in technology for an office setting.

Displays good writing skills with attention to detail, spelling, grammar, capitalization, and proofing.
Interprets meeting content into a written summary for minute taking.
Maintains and safeguards confidentiality regarding office dynamics, personnel issues, interpersonal situations, student/faculty/staff personal information, and negative comments or complaints generated by others.
Displays a positive, uplifted, and supportive demeanor with others in written and spoken communication and interactions.
Completes work within established timelines and deadlines.
Displays mathematical competence to complete purchase requests.
Maintains a calm presence in a fast-paced demanding environment.

Possesses good time management, organization, and critical thinking to research and report information.
Operates and possesses computer and software skills for Outlook, Word, Excel, internet browsing, SLCC website searches, etc. required for the job.
Utilizes effective interpersonal problem-solving and public relation skills with a variety of people.
Communicates effectively with a broad range of diverse people, abilities, cultures, ethnic backgrounds to maintain good working relationships across the College.
Effectively works with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
