Job Summary

Assist with Arts & Cultural Events management, including logistics, budgeting and overall support for ACE sponsorships in coordination with the ACE chair. This position will also be responsible for SLCCSync maintenance and regulation of portals and forms. This position will schedule spaces and equipment for clubs and Student Association and teaching effective use of SLCCSync. Assist professional staff in supporting student leaders and office guests. Coordinate with Student Life & Leadership Director and Administrative Assistant and Advisor to Clubs depending on the approval process. Will use Banner to provide financial support to clubs and the Student Association.

Essential Responsibilities and Duties

Oversee ACE budgets master and sponsored indexes. Arrange ACE proposal meetings and follow-up with ACE sponsors. Support sponsors with logistics, contract process, and marketing.
Send list of confirmed ACE events to SLCC Today, the Globe and other SLCC social media.
Maintain and regulate the SLCCSync software. This includes reviewing and approving forms and requests, updating and approving portals, forms, files, calendars as needed. Learn, manage and teach the use of SLCCSync to student leaders to assist them in maintaining and effectively using their portals. Assist the professional staff in supporting student leaders through SLCCSync (or other similar software) and other trainings, attending meetings, and providing additional support where requested. Responsible for reviewing all SLCCSync program planning requests and reserving spaces for SLCCSA Boards, Clubs, and the Student Life & Leadership office, as well as other forms as requested. Scheduling of spaces in the Student Center utilizing the Event Management System (EMS) in coordination with the Event Scheduling Team. Review room availability, set up, equipment, and catering needs. Assisting requestors in understanding event details, i.e. building hours and management, custodial, safety and security, to ensure that all needs for the event are addressed. Assist in securing space for these groups in other college locations. Provide training and assistance to club leaders to help them learn fiscal responsibility in coordination with Student Life & Leadership Administrative Assistant and the Advisor to Clubs. Review travel requests to make sure all required materials are submitted. Review the processes to see if any other steps or supportive materials should be requested. Work closely with Student Life & Leadership Director and Administrative Assistant. Assisting clubs and groups traveling with the needed details of their travel requests. Other duties as assigned.

Preferred Qualifications

Associate’s Degree
Experience in Higher Education

Minimum Qualifications

High school diploma or GED
A minimum of 3 years of experience in customer service or related field.
Trade of 1:1 basis of education and experience.
Part-time experience may be substituted for full time experience on a pro-rated basis
(Able to work M-F during daytime hours
and possibly some nights and weekends)

Knowledge, Skills & Abilities

Experienced at using SLCCSync, Event Management System and Banner
Ability to learn new programs and use them effectively
Ability to work in loud, open, heavily populated environment
Experience with budgeting and tracking multiple accounts
Excellent customer relations and telephone skills
Knowledge of general office procedures and methods
Strong verbal and written communication skills
Ability to set priorities, organize tasks and take initiative within established parameters
Ability to operate most office equipment
Ability to maintain professional and positive attitude
Ability to develop, adapt and take direction and work independently when necessary
Ability to work some nights and weekends
Ability to be open minded, understanding and empathetic with students
Ability to absorb rapidly changing information and apply it effectively
Ability of communicate College policies and procedures effectively and diplomatically
Ability to research, analyze, compose and provide oral or written reports
Ability to use Microsoft Office, Banner, OrgSync/SLCCSync and EMS.
Valid Utah driver’s license
Ability to complete Utah Driver’s Safety Training; including a valid Utah’s driver’s license.
Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College.
Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities.

Non-Essential Responsibilities and Duties

Able to move 40 lbs.
Valid Utah Driver’s License
Ability to complete Utah Driver’s Safety Training
