Under the Bioscience leadership, the Program Representative plans and implements a variety of programs and program components organized by the coordinating office of UCLA Graduate Programs in Bioscience, a consortium of seven Ph.D. programs in the biomedical and life sciences and the Office for Postdoctoral Affairs. The programs are related to bioscience research training and professional development. You will provide planning, operational, and financial support for all of the programs. Programs include, but are not limited to: professional and career development seminars and workshops, support for bioscience student groups and student-led activities, fellowship opportunities, graduate student recruitment, summer research experiences, training in mentoring for students and faculty, and workshops to promote inclusion and wellness. This fast-paced job offers an assortment of different duties and requires an energetic person with impeccable organization skills and attention to detail, and the desire to contribute to the training of the next generation of biological scientists. Responsibilities include: * Plan programs by determining needs and developing timelines and deliverables for implementation * Manage and schedule all student and faculty meetings, seminars, lectures and social functions, and events for the GPB and Postdoc Affairs * Maintain websites and social media accounts * Process program applications and admissions by collecting and organizing applications for review, recording admission actions, and communicating status to participants * Coordinate travel, business meeting, and entertainment administration for the department, including staff and student travel to conferences and meetings and departmental events and programmatic activities. * Process reimbursements and stipend payments Salary Range: $46,000-91,200 Annually


JOB QUALIFICATIONS


Qualifications

 

Required: * Working knowledge of BruinBuy and Concur systems * Skill in coordinating programs, projects, and activities by creating ideas, and determining implementation methods * Knowledge of objectives, processes, and policies characteristic of academic settings and academic research programs * Working knowledge of concepts in procurement policies and procedures * Working knowledge of concepts in business travel * Ability to maintain strict confidentiality of privileged information * Skill in composing professional and effective business communication * Skills in using standard business software such as word processing, presentations, spreadsheets, portable document format, web-based business applications, social media, digital imaging, and surveys * Skill in organizing material, information, and people to optimize efficiency and to minimize duplication of effort * Ability to set priorities, perform assignments independently with minimal supervision, and complete work in a timely and accurate manner * Ability to perform light physical labor such as event set-up and breakdown and supply inventory management * Ability to occasionally work early mornings, evenings, and weekends * Ability to build and maintain strong professional relationships with others and engender trust from team members in one’s ability to cooperate and collaborate * Ability to attain professional growth and development, openly respond to feedback, accept responsibility for behaviors, and manage time and resources to achieve goals
