The Dry Eye Foundation is a small but high-impact non-profit organization in Poulsbo, WA serving people all over the US, as well as internationally, who are struggling with a variety of painful corneal (eye) diseases. Our nonprofit, founded in 2018, grew from ongoing patient advocacy projects that began almost 20 years ago. As we grow our organization, we are looking for a detail-oriented person to support us and our programs as our full-time Community Services Program Administrator. This new role will be the 3rd member of the DEF team onsite. Our two Co-Executive Directors, who you will report to, manage day-to-day operations and strategic growth of the Foundation, and are overseen by the Board of Directors.

Position Summary

The right person for this job will be eager to support a diverse remote/online community navigating chronic disease and will be a quick study in our software systems. Our programs fill an important void and we are looking for help to meet the growing demand for services. This will be a very rewarding job for someone looking to make a difference. This role will be approximately 60% Program Administration and 40% Reception and Administrative Support.

Hours: 7:30 am - 4:00 pm; Location: On site, 26273 12 Trees Ln NW Poulsbo Ste M.

Responsibilities include:

  • Manage our ticket-based CRM, Gorgias, to ensure timely responses to all phone and email communication
  • Manage travel and logistics when we exhibit at national conferences 3-4 times a year
  • Track program activities, donations, and memberships on individual accounts within our nonprofit software, manage software administration
  • Maintain record-keeping for our national Dry Eye Helpline and our weekly Zoom Support Groups, directing most patients to one or more of our resources or community programs
  • Make check-in calls to Helpline clients and manage our free patient literature program
  • Maintain calendars, generate reports for EDs and Board, assist with expense reports, etc.

Qualifications:

  • Minimum 5 years relevant experience and some college
  • Ability to demonstrate strong software skills and the ability to learn new software and systems quickly (We use Gorgias, Neon CRM, Zoom, Aircall, Google docs, Guru, QuickBooks Online, & Canva; Preferred platform is Mac)
  • Excellent verbal and written communication skills
  • Passion for serving others and connection to our organization’s mission, aspirations, and culture

What We Offer:

Pay range: $26-30 / hour

Benefits: PTO (1 hour for every 20 hours worked), paid Federal holidays (11). Due to our size, we do not yet have a medical plan, but additional benefits are negotiable.
