Program Operations Associate, Jewish Engagement

Organization: Jewish Federation of Greater Seattle

Location: Hybrid Position - remote in the Seattle area with 1-2 days per week in-person at our Downtown Seattle office or attending local events.

Hours: Full-time, Non-exempt

Start Date: September 5, 2023

As Program Operations Associate in the Jewish Engagement Department, you will serve as a “utility player” across all areas of our engagement work. As a member of the Federation’s professional team, the Associate is expected to foster the Federation’s mission, values, and inclusive culture.

This position reports to the Program Operations Manager.

The core of the Federation’s engagement experiences is about bringing people together to build community, by creating and strengthening relationships that are at the heart of a strong community.

The Associate will play a critical role in curating and implementing immersive community experiences that foster a vibrant and strong Jewish Puget Sound. You will take our organization to the next level by collaborating across departments and with community partners to craft meaningful programs, setting a high bar for quality and consistency.

Working closely with both the Program Operations Manager and Community Impact & Outreach Manager, you will be responsible for delivering best-in-class community outreach, leadership development and young adult/adult education programs and to effectively and efficiently steward our scholarships processes from inception to completion.

Role Responsibilities:

  • Supports the Program Operations Manager to maintain and adhere to annual program budgets;
  • Maintains project workflow systems on the Asana Platform generated by the Engagement team meetings from project inception to completion.
  • Partners with Program Operations Manager to create and track a year on year program planning overview that provides a roadmap for the Department
  • Assists with operational aspects related to Community Outreach and Young Adult/Leadership programs and events.
  • Ensures that the Engagement team’s documents, records and project data are current, up-to-date and accessible.
  • Supports the Community Engagement & Impact Manager to steward the following portfolios; Spitzer Award and Teen Israel & Camp Scholarships.
  • Maintains, cultivates and grows the ‘New-ish and Jew-ish’ database, proactively seeking newcomers to Seattle and building a relationship with them, and their families in order to ascertain what might be more effective ways to engage with unaffiliated Jewish Puget Sound.
  • Tracks all community relationships and program attendance utilizing the Federation’s CRM database and monitors intended engagement outcomes.
  • Collaborates with the Program Operations Manager to deliver community outreach, leadership development and young adult/adult education programs.

Required Experience and Competencies:

  • Bachelor’s degree required;
  • Minimum 2 years of related work experience;
  • Proven track-record of strong follow-through skills, ability to anticipate, identify, analyze and solve problems
  • Excellent interpersonal skills; dependable customer-service orientation
  • Excellent oral and written communications skills, with demonstrated capacity to present complex information in clear and concise ways
  • Excellent organizational and project-management skills and ability to maintain a high level of accuracy and attention to detail
  • Able to thrive in a fast-paced environment with demonstrated ability to multitask.
  • Professional demeanor and ability to handle all situations in a calm manner
  • Exceptional discretion and capacity to maintain confidentiality
  • Proficiency in Word, Excel and experience with Google products and platforms
  • Travel within King and Snohomish County required as well as availability to work evenings and Sundays as required.

Position Information:

The Program Operations Associate reports to the Program Operations Manager. This is a full-time, non-exempt, hybrid position. A hybrid position is defined as a work environment that combines elements of both remote and in-person office based work, allowing for greater flexibility and a balanced approach to productivity. It is expected that employees have access to a dedicated desk and chair at home for efficient remote work.

Local travel may be required as part of the job responsibilities.

Compensation:

  • Salary range: $50,000 - $55,000 per year, commensurate with experience.
  • Paid time off and Holidays are as follows: Fifteen (15) vacation days and Five (5) sick days annually, Nine (9) National holidays and Jewish holidays which varies year to year.
