  • Brief Description

    • Responsible for a broad variety of administrative tasks in support of the Operations staff, including: daily management of calendars; completing expense reports, arranging travel plans; itineraries and agendas; and compiling documents for travel-related meetings.

    • Assist with external meetings; greeting guests, setting up conference room, insuring all meeting needs are met.

    • Manage incoming correspondence via mail, voice and email, redirect as necessary.

    • Manage all office supplies, printers and copiers.

    • Coordinate New Hire processing.

    • Arrange / manage events to take place in and outside of the work place, such as staff appreciation events.

    • Assist with preparation for quarterly Board Meetings.

    • Manage a variety of special projects as assigned.

  • Requirements

    • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

    • Strong interpersonal skills and the ability to build relationships with all levels of staffs.

    • Good written and verbal communication skills.

    • Demonstrated proactive approaches to problem solving.

    • Highly resourceful, with the ability to also be extremely effective.

    • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service.

    • Demonstrated ability to achieve performance goals and meet deadlines in a fast-paced environment.

    • Forward looking thinker, who actively seeks opportunities and proposes solutions.

    • 2 to 4 years of experience supporting multiple levels of management and staff, preferably in a non-profit organization.

    • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat.

    • Willingness to work flexible hours as role demands.

    • College degree not necessary but would be a plus.

  • Summary

    We are recruiting for an Administrative Assistant to provide support to IDRI’s Operations. The role includes scheduling meetings, handling information requests, booking domestic and international travel, and performing clerical functions such as preparing correspondence, formatting documents, receiving visitors, arranging conference calls and organizing events.
