The Team

The Global Financial and Accounting Services (GFAS) team works on grant and vendor disbursements, financial reporting, payroll, tax compliance, cash flow planning, employee expense administration, procurement, and internal controls. The GFAS team handles the annual financial statement audits, tax returns, and general ledger accounting for the foundation, the Trust, subsidiaries, and international offices.

 

Your Role

The Senior Assistant (SA) is a key member of the team. This role provides a wide and varied range of organization and project support as well as administrative support for the GFAS Director, deputy directors, and project owners. The SA works in Seattle and frequently collaborates with business partners and assistants across the organization to support the overall work and ensure the smooth running of the foundation’s global financial and accounting services team and projects.

 

What You’ll Do

  • Support team specific special projects with project coordination including scheduling meetings and interviews, planning and facilitating events, and SharePoint maintenance.
  • Complex calendar management for the GFAS Director and Deputy Directors.
  • Schedule and plan on-site and offsite events, meetings, conferences, and presentations which may include coordinating arrangements for participants, handling and planning logistics and disseminating materials.
  • Compile and process expense reports and reimbursements in a timely manner.
  • Create, update and maintain organized files and records for the team.
  • Support communications to ensure timely responses to inquiries including serving as a liaison for team with internal partners, answer questions, route requests appropriately, draft and edit correspondence, take and distribute minutes of meetings, and email management.
  • Act as a resource to the team for the best use the various audio/visual systems (e.g. Teams, conference room automation) to minimize distraction and maximize efficient communications and collaboration
  • Help organize project and team meetings, including preparation, in-meeting support, follow-up, and management of meeting materials.
  • Coordinate visas, travel arrangements and logistics for international travel.
  • Take initiative to support the varying needs of the team.

 

Your Experience

  • Bachelor’s degree preferred with 5+ years’ experience in an administrative role supporting senior management or executives.
  • Experience setting priorities and meeting deadlines while balancing the administrative needs of multiple individuals, including calendar management, travel arrangements, and event planning coordination.
  • Excellent verbal and written communication skills; be able to communicate effectively with internal and external contacts and can adjust to a wide variety of working styles.
  • Proven ability to lead and influence others. Demonstrated ability to work with efficiency, tact, and flexibility particularly as part of a team.
  • Experience working on teams with diverse cultural and professional backgrounds.
  • Ability to deal with and work through ambiguity.
  • Experience establishing organizational systems to improve efficiency and functioning in a changing environment.
  • Demonstrated proficiency with the Microsoft Office Suite: MSWord, Outlook, Excel, PowerPoint, Teams and SharePoint is required.
  • Experience in learning and mastering new software applications.
  • Demonstrated positive, collaborative approach to work, including a commitment to client service and problem solving.
  • Must be able to legally work in the country where this position is located without visa sponsorship.

 

The typical salary range for this role is $24.72 to $45.32 USD. The exact offer will be determined by a variety of factors such as the candidate’s individual skills, qualifications, and experience relative to the requirements of the role.

 

This position is a limited-term position for 12 months. Relocation will not be provided.
