Summary

The Office of Enrollment Management (OEM) at the University of Michigan is looking for a new administrative assistant who will support the human resources team and assist with various operational needs for the administrative unit of OEM. Reporting to the HR Director, the team member will support recruitment and selection processes, coordinate on- and offboarding processes for all employees, initiate HR transactions and reconcile records. The administrative assistant will also participate in the development and implementation of new employee orientation programs, division-wide staff engagement and professional development activities. 

 

In addition, the administrative assistant will support OEM operations and provide administrative support to senior leadership team members.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment (OEM) division provides campus-wide leadership in executing the strategic recruitment, admission, enrollment, new student programs, records management and student financial support functions for the university. 
 

Responsibilities*

70% Human resources support

  • Collaborate with search chairs and hiring managers to implement recruitment and selection processes. Create job postings, schedule interviews, develop candidate information packets and host candidates during on-campus visits.
  • Process new hire transactions for regular, student and non-student temporary hires; facilitate internal processes to ensure successful onboarding of team members. Partner with unit admin assistants and IT personnel as needed.
  • Schedule and coordinate new employee welcome program sessions. Communicate with team members and follow up on training requirements. May assist with facilitation of programs and other onboarding tasks. 
  • Initiate offboarding processes; partner with HR team and others to confirm departure information and schedule exit interviews. May summarize data and themes.
  • Use discretion to process terminations and time-sensitive transactions that require next-level approval. 
  • Assist with the development and implementation of staff engagement programs and new professional development activities. 
  • Order, update and post employment law and policy posters to ensure compliance.
  • Participate in continuous process improvement efforts including utilizing new technology and documenting best practices; develop internal HR-related procedures and policies, internal forms and checklists.
  • Assist with other committees, projects and tasks as assigned.
     

30% Administrative support

  • Serve as front desk assistant for the Vice Provost of Enrollment Management (VPEM) administrative suite; provide direct customer service to faculty, staff and campus visitors. 
  • Work closely with the executive assistant for the vice provost to manage senior-level searches and consider calendar implications. Serve as backup to executive assistant and provide VP support as needed.
  • Provide administrative support to the HR Director and other senior leadership team members including but not limited to calendars, travel and project support.
  • Order office supplies and maintain office/computer equipment (printers, copiers, etc.). Initiate tasks to resolve maintenance issues. May serve as facilities assistant.
  • Review, handle and distribute incoming and outgoing mail.

Required Qualifications*

  • Bachelor's degree or equivalent combination of education and experience.
  • Progressively responsible professional experience including administrative and human resources support. 
  • Considerable customer service experience and demonstrated knowledge in appropriately handling confidential and sensitive information.
  • Possess a problem-solving attitude and a willingness to work successfully in a team environment.
  • Proven experience working with multiple stakeholders, at all levels, with demonstrated exceptional interpersonal skills.
  • Strong working knowledge of Microsoft Office products and Google applications.
  • Working knowledge of Zoom or other video conferencing tools.
  • Ability to work effectively with diverse work styles and with individuals from diverse backgrounds.

Desired Qualifications*

  • Previous experience working in an academic or student services environment.
  • Experience working in human resources at a large, complex organization.
  • Experience with University of Michigan HR systems including but not limited to the Oracle PeopleSoft HRMS and Business Objects.

This position is currently required to report to work in the office Monday through Friday to ensure front desk coverage, but may be eligible for other flexible work opportunities.
