POSITION SUMMARY: Under the general supervision of the Clinical Manager. Act as a member of the Wraparound Management Team. Provide coaching and supervision of Administrative Assistants, assist in monitoring completion of required training of new staff, and ensure organizational effectiveness by supporting Administrative staff.
In this role you will be under the general supervision of the Clinical Manager, and a contributing member of the Wraparound Management Team. Other responsibilities include; running staff meetings, providing administrative supervision, as well as position essential administrative tasks, conducting staff evaluations, and managing the organizing and implementation of ancillary groups.

ESSENTIAL JOB FUNCTIONS/MAJOR JOB RESPONSIBILITIES:
Supervise Administrative Assistants and Receptionist which includes; training, handling absenteeism, tardiness, timecard reconciliation, hiring new staff as needed, performance evaluations, work allocation and problem resolution.

Serve as a link on behalf of management and Administrative Assistants and Receptionist by handling questions and supporting conflict resolution

Ensure strict confidentiality of all records which means following all HIPPA regulations concerning Public Health Information (PHI)

Model and encourage direct, professional communication among staff members and facilitate the development of a positive staff support network.

Provide coverage for Administrative Assistants and Receptionist as needed

Proficient in Microsoft office and in creating/updating new documents as needed

Attend team meetings as needed and as directed by the coaching/supervision plan

Support staff; ensure continual coverage of administrative duties which include, but not limited to, phone coverage, paperwork processing, chart reviews, scanning and the process of new and exited clients paperwork

Lead role specific meetings

Lead Quality Assurance team in preparing charts for audits and ongoing quality of the client’s charts.

Work cohesively with the Quality Assurance team to ensure the organization of staff and client needs.

Function in accordance with the LCSNW personnel and administrative policies and procedures

With approval and direction of the Clinical Manager, participate in training seminars and other educational opportunities to insure continued competence in skill areas

Recognize the value and strengths of all cultures and maintain a professional problem-solving attitude while dealing with cross-cultural challenges or conflicts

Demonstrate awareness and sensitivity in the delivery of client services as it relates to the cultural and socioeconomic characteristics of the population he or she serves

SECONDARY FUNCTIONS: Other duties as assigned by the Program Clinical Manager.
SUPERVISORY RESPONSIBILITY: Provides direct supervision and coaching of Administrative Assistants and Receptionist.
INTERPERSONAL CONTACTS: The Administrative Supervisor will partner with LCSNW staff to gather relevant information to ensure that the Administrative Team is supporting the ongoing principle based work of the North Puget Sound WISe program.

The employee is normally engaged in low-activity tasks such as sitting, standing, and walking. The work environment is typical of a professional offices; the noise level is usually moderate. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, peripheral vision, and the ability to adjust focus. Coordination tasks are generally performed in a normal office environment and in community-based sites, including churches. Travel to and from determined locations will be required.

Travel: In this role your will be required to travel throughout the King County area. Mileage reimbursement allocated monthly.

Qualifications:
Ability to keep accurate and detailed documentation.

Knowledge of Electronic Health Records systems.

Knowledge of Washington Administrative Codes.

Ability to demonstrate and promote agency culture.

Valid Driver’s License, reliable transportation and proof of automobile insurance

Clearance of motor vehicle report to meet LCSNW insurance requirements is preferred.

Clearance through the Washington State Patrol background check and additional nationwide criminal background check.

Verification of the ability to work around the vulnerable population is necessary.

Fluency in Spanish, Russian, Arabic, Somali, Dari, Farsi or Pashto preferred

Education/Experience:
Bachelor’s degree required. Degree in business or organizational systems preferred.

Nonprofit experience preferred.

Minimum of 1 year experience in a related field.

CERTIFICATES, LICENSES, REGISTRATIONS:
CPR/First Aid within 90 days of hire.

CPI certified within 90 days of hire.
